Position Summary:


Under the supervision of and reporting to the Agreement Manager, the Records Management Coordinator is responsible for maintaining and monitoring the storage of all records, including electronic records of all filing systems, file transfer and storage, file retrieval, and preparation of files for permanent storage or destruction, while maintaining the safety and security of confidential information.


Responsibilities:


  • Promote, engage and collaborate with all STC departments on information governance, records management life cycle and guiding principles;
  • Participate with working committee(s) in research and development of long and shortterm record management plans following accepted industry standards;
  • Work with departments to ensure procedures are in place to support the management of risk, enforce regulatory compliance and improve organizational capacity;
  • Establish corporate standards for managing terms and conditions of contribution agreements;
  • Coordinate the collection of required reporting from member First Nations;
  • Ensure timely access for authorized personnel to prepare required financial reporting;
  • Work with departments to classify, organize, store and update records inventories of the organization;
  • Support the maintenance of electronic personnel files in accordance with Human Resources policies and procedures;
  • Review and research appropriate databases for the various records, reports, and documents;
  • Provide access to records for authorized personnel in compliance with STC Corporate policies and procedures;
  • Assist in processing requests for information in compliance with applicable Privacy Act legislation, OCAP, and or locally developed policies;
  • Coordinate and record the disposal of documents and the transfer of records to permanent storage in accordance with STC policies and procedures;
  • Provide training and ongoing support for internal clients on system access and records function;
  • Ensure compliance with STC policies and procedures as well as any applicable legislation;
  • Prepare briefings and reports as required;
  • Perform other administrative functions as required based on organizational needs;
  • Perform other related duties as defined and assigned by reporting Director, Senior Management or designate on an asrequired basis.

Education and Experience:


  • Bachelor's degree in Public Administration, Commerce, Library Science, Archival Science; and
  • Minimum (3) three years of direct experience with physical and electronic record management; OR
  • An equivalent combination of education, certification, training and relevant work experience may be considered.

Knowledge Skills and Abilities:


  • Knowledge about the role of program administration and requirements of contribution funding agreements, contracts and project management;
  • Knowledge of all federal and provincial legislation and regulations as it relates to records management principles;
  • Ability to plan, develop procedures and implementation schedules as well as manage issues or challenges;
  • Ability to analyze a wide variety of material related to a wide range of programs and services;
  • Ability to facilitate understanding and cooperation when promoting program strategies with staff, clients and other stakeholders;
  • Ability to collaborate with clients/stakeholders where the position must develop and recommend strategies and courses of action;
  • Ability to adapt to changing priorities, monitor multiple projects and meet deadlines;
  • Ability to maintain detailed and accurate records and documentation;
  • Advanced ability to utilize Microsoft Office Suite in daytoday operations and knowledge of current technology and software associated with the duties of this position;
  • Highly effective interpersonal and communication skills (verbal and written);
  • Ability to work independently with mínimal supervision demonstrating sound judgment and decisionmaking skills to ensure the work meets expected standards;
  • Knowledge of the political, social, and economic objectives of the Saskatoon Tribal Council and of the Dakota, Cree, and Saulteaux cultures will be considered an asset.

Other Conditions:


  • Must possess a valid Saskatchewan driver's license, a reliable vehicle, and meet STC's insurance requirements;
  • Occasional travel required to member First Nation communities.
  • Must provide a current, original, Canadian Criminal Record Check (CPIC) as a condition of employment;
  • Must be willing to work flexible hours, evenings, and weekends.
