Job Description:


Position Summary:

This position reports to the Manager, Human Resources.

The Human Resources Administrative Assistant is an extremely organized and detail oriented member of the Human Resources team; a fast paced, high volume department at the Hospital.

The incumbent will work collaboratively with Recruitment, Wellness/Wellbeing, Diversity/Equity/Inclusion, Employee and Labour Relations, Compensation and Benefits, Volunteer Services, Organizational Development, and Health & Safety in a support capacity.


This role includes:

reception, data input, filing/record keeping, new employee onboarding, clerical duties, customer service, and preparing for and participation in programs, employee recognition activities, etc.


Key Accountabilities:


  • Provides excellent customer service for employees and leaders entering the HR Department fields questions, directs, and assists as required on a timely basis
  • Regularly updates files, Excel databases, HR systems and affiliate sites including Meditech, iCims, and other sites as needed
  • Administration of career achievement awards, internal & external correspondence (employment letters, courier packages), processing of invoices, and other requests as needed
  • Assists with staff and volunteer orientation sessions
  • Updates policies, manuals and other training materials
  • Create, replace, and track ID badges
  • Process and routes logisitics forms as part of hiring or transfers, ensuring workflows are not delayed
  • Ensures consistent ordering and inventory of office supplies for the HR Department
  • Locker tracking and assignment
  • Creates and sends Employment Record or Experience letters
  • Covers Health & Safety, and Wellness, as required
  • Other duties as assigned


The physical demands of the role may include but are not limited to prolonged sitting, standing, walking, bending, lifting, pushing and pulling.

This position contributes to ensuring there is a safe environment for patients, staff and visitors.


Skills and Qualifications:


  • Postsecondary education in Human Resources, Office Administration and/or equivalent combination of education and recent relevant administration experience is required
  • 23 years' experience in a professional administrative role required, preferably in a unionized health care setting
  • High level of initiative and selfdirection, welldeveloped time management skills, and attention to detail
  • Experience with Microsoft Office Suite and Meditech would be an asset
  • Demonstrated ability to achieve results and to find opportunities to continuously improve services and increase automation
  • High degree of organization, selfmotivation and accountability
  • Excellence in communication, customer service and interpersonal skills including discretion and professionalism
  • Multitasking strengths to respond to a variety of requests for information and assistance, correspondence, reports, creating and maintaining files, monitors supplies and aiding in the improving the work flow in the department
  • Must handle concerns/issues confidentially and professionally
  • Demonstrated ability to achieve results and to find opportunities to continuously improve service
