We are looking for a high level of initiative and commitment to support Strathcona County Council with effective office administration. Your eagerness to tackle a broad scope of sensitive and complex assignments will advance Council's vision to foster effective working relationships among elected officials, county leaders, community representatives, stakeholders and residents.


This position provides senior-level direct support to four (4) Strathcona County Councillors through effective and efficient, confidential, executive administrative assistance to ensure the efficient operation of the Office of the Elected Officials and coordinates effective communication with the Office of the Mayor.


This position conducts research and analysis and provides information to the Councillors on a variety of issues and aids in advancing Council's vision by fostering effective working relationships among Elected Officials, County leaders, community representatives, stakeholders and residents.

The position acts as a liaison between Council, Executive Team, Executive Assistants, and all other divisions and departments working closely with department Directors and administrative staff regarding resident concerns and inquiries.

This position works in a politically charged, sensitive environment and provides coaching and guidance to all levels of staff related to protocols and direction from the Councillors.


Responsibilities:


  • Screen inquiries, take and distribute meeting minutes, coordinate Council packages and food provisions, coordinate Councillors' business by facilitating public relations, professional development, business and community events and participation in trade shows; order promotional items, coordinate special programs, projects or events, conduct research, offer information technology support, and other related assignments
  • Determine course of action to respond to resident inquiries for up to 5,500 inquiries annually, communicate with departments to confirm inquiries are addressed, enter into County Connect, assist other departments and RCMP/Enforcement Services to address resident concerns, and report on outcomes to Councillors
  • Ensure corporate records are electronically maintained, enter documentation into eSCRIBE to form part of the public record, consistent with legislative requirements
  • Plan, coordinate, and administer special events such as parades, silent auctions, coordinate Council Orientation training and office accommodation
  • Responsible for inputting, editing, and updating information for the "Mayor and Councillors" website
  • As required, assist with scheduling Councillor calendar appointments and coordinating meeting packages
  • Anticipate trends, consequences or problems to deal with them in advance
  • Work with the Office of the Mayor, Executive Team, Executive Assistants, Legislative and Legal Service, stakeholders, and residents handling politically sensitive issues promptly, exercising initiative and sound judgement

Qualifications and Skills:


  • Available to start May 27,202
  • Postsecondary training or certificate in Office or Business Administration with 7 years of progressively responsible and related experience, including administrative support at a senior management level or to an elected official is required
  • Experience in event planning is an asset
  • Previous municipal or other level of government experience and in working with elected officials is an asset
  • Excellent interpersonal skills, with a strong service ethic and ability to work with diverse individuals
  • Ability to handle confidential information with political acumen and discretion
  • Strong decisionmaking, organizational and time management skills with a high level of initiative and commitment to completing assignments in a timely manner
  • Excellent verbal and written communication skills, with specific attention to detail
  • Experience researching, compiling information and report writing
  • Ability to work collaboratively and with mínimal supervision in a dynamic work environment
  • Broad knowledge of Strathcona County organization, services, and issues
  • Advanced computer skills with strong proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe and social media
