JOB OVERVIEW


The position of
Assistant, Facilities and Operations is responsible with the Toronto based Facilities team for ensuring the optimal working environment for all the organization's staff members by providing full operational and maintenance services as well as promoting safety conditions.

The typical employee works a 35-hour week with occasional evenings and weekends as the job demands. The individual in this position will report to the Manager, Facilities and Operations.

The position would work in the Society's Toronto office but would also work as part of the nationwide Real Estate and Facilities team.


WHAT YOU'LL BE DOING:


  • Support incoming and outgoing mail distribution and maintaining all mailroom inventory stock levels.
  • Monitor, action, and redirect request from various departments in the facilities mailbox to support cross functional organization needs.
  • Support Facilities team with operational office moves, furniture moves, and deliveries.
  • Support Facilities team with onboarding and offboarding staff to receive notifications and coordinate requirements to the CCS work environment in consultation with the hiring manager.
  • Evaluate maintenance requests, set priorities and process work assignments.
  • Contact with key supplier relationships at the Society's Toronto office such as housekeeping/janitorial, HVAC maintenance and plumbing services.
  • Coordinating emergency evacuation plans, procedures, and drills in conjunction with the Facilities Manager; acts as primary contact and escalates as required.
  • Conducts weekly inspections of National office facilities to assess service levels of external providers, safety, tidiness etc.
  • Assist the Facilities Manager and Facilities Coordinator in all aspects of Toronto site operations as needed
  • Office supply ordering backup
  • Assist with internal fundraising material order processing from warehouse inventory
  • Actively contribute to our culture of justice, belonging, equity, diversity, and inclusion by ensuring that all staff feel represented and heard regardless of their gender, age, religion, ethnicity, and nationality or race.
  • Champion CCS as a hero in the face of cancer.

QUALIFICATIONS:


  • This role required an administration/operations diploma and 12 years experience in an operational environment that supported cross department teams, or comparable education/experience.
  • The role requires 12 years of general building maintenance exposure with understanding and skills with small repairs, office coordination, etc. and strong understanding of building infrastructure (mechanical, electrical etc.)
  • The individual should have beginner to intermediate Microsoft Office skills and be comfortable learning new systems and database entries (NetSuite).
  • Multitasking ability in a fast paced, cyclical environment and working with multiple stakeholders.
  • Superior interpersonal and communication skills.
  • Possesses a high level of professionalism when representing the Society in dealing with internal and external stakeholders. Diplomatic and problem solving skills.
  • A team player and a team builder.
  • Sense of urgency and the ability to be proactive on issues and opportunities
  • Work independently without regular direct supervision.
  • Commitment to and willingness to advocate of the Canadian Cancer Society cause.
