Job Description:
Are you looking to build your career in the events industry? As a Project Coordinator you will be reporting to the president and vice president of our Fan Expo events
Job duties include:
- Conserve senior managements' time by providing administrative assistance, communications, producing analytics and preparing presentations on special projects;
- Act as primary liaison for universal suppliers as assigned (supplies, printing, signage etc.) to ensure FXHQ departments are serviced consistently and on schedule.
- Support new hires with administrative set up and training as assigned.
- Prepare regular reports and presentations by collecting and analyzing information;
- Provide efficient correspondence and respond to customers, exhibitors and sponsors in a timely fashion;
- Deliver special projects for the FAN EXPO shows as required including (but not limited to) Team summits, social events and
- Manage assigned projects and follow up with staff on completion of tasks;
- Assist in preparing project proposals, timeframes, schedule and budget;
- Create and maintain comprehensive and professional project documentation, plans and reports;
- Maintain and champion internal data storage platforms, distribution lists and key divisional meetings
- Oversee and manage Fan Expo PCards including coding of expenses and following up on expenses;
- Keep track, process and reconcile payments, including invoices, statements, checks, refund requisitions, etc., in compliance with financial policies and procedures;
- Ensure correct approval, sorting, coding and matching of invoices and receipts;
- Compile and maintain meeting minutes for team meetings;
- Other duties as required.
Qualifications:
- Post-Secondary Education (diploma/degree), event management preferred;
- Minimum 2 years work experience in Event Coordination preferred;
- Minimum 1 year work experience in Administrative Support;
- High proficiency with Microsoft Office, including Outlook and Excel;
- Experience in Accounts Payable or invoice reconciliation preferred;
- Experience working on teams and projects;
- Strong people and communication skills.
