We are looking for an Administrative Assistant who will be responsible for reception duties and will also provide administrative support to our Accounting Department.

This position is located in Etobicoke.


Reception Duties:


  • Operate a multiline telephone system to transfer all incoming calls to the appropriate individual/department in a courteous and professional manner
  • Checking/entering Packing Slips
  • Distribute mail/faxes
  • Acquire knowledge about the business, in order to be able to respond to inquiries for general information
  • Answer customer inquiries and/or direct customers appropriately
  • Maintain the cleanliness of the reception area
  • Update and distribute company telephone listings
  • Perform various clerical and administrative duties as requested
  • Develop and maintain a filing system
  • Invoice customer orders daily
  • Make the daily deposit
  • Ensure that the reception area is never left unattended
  • Act as the first point of contact for internal and external clients
  • Monitor the front counter to ensure customers have been greeted and looked after
    Administrative Duties:
  • Helping with postings for batches that have been received remittances for that includes Visa, MasterCard, Amex and EFTs under the direction of the Credit & Collection Administration Supervisor
  • Accounts Payable tasks inclusive of 3way matching
  • File paid invoices after a payment run
  • Ordering office supplies for multiple branches
  • Print labels for warehouse use
  • Assume responsibility for maintenance of office equipment, including computers, telephones, copy machines and fax machines
  • Maintain and support workflow by studying methods; implementing cost reductions; and developing reporting procedures

Requirements:


  • High school diploma and 12 years experience in data entry
  • Ability to work from 7:30 4pm
  • Team Player
  • Flexibility and being Task Committed is a must in this role
  • Must be organized, be able to multitask and prioritize, work independently within a team environment and work under pressure
  • Must have a positive mindset and right attitude
  • A thorough knowledge of Microsoft Office is required (Outlook, Word and Excel)
  • Ability to display and act with professionalism
  • Solid communication skills both written and verbal
  • Resourceful and proactive issue resolution skills
