Duties and Responsibilities:


Working under the guidance of the Manager, Academic Support Operations, the Administrative Coordinator is responsible for smooth operation of the Office of the Dean.

This requires accuracy in general administration and communications matters, accountability in financial administration, precision in completing special projects, and the ability to maintain and support the decorum and confidentiality necessary in a Dean's Office.

The position requires maturity, discretion, tact, and good judgment in dealing with a variety of requests and visits from faculty, staff, students, university management, and senior officials from the public and private sectors.

Attention to detail and responsible timely performance are imperative.


Qualifications:


The incumbent must possess the following qualifications:

  • Excellent organizational and research skills
  • A thorough knowledge of University and administrative policies and accounting procedures
  • Ability to define and resolve problems
  • Ability to meet and deal with people at the highest level
  • Ability to handle confidential information; ability to work to deadlines, establish priorities, and work effectively with limited supervision.
  • A thorough knowledge of secretarial/clerical and general office procedures.
  • Excellent written and verbal communication skills, attention to detail, and accurate record keeping skills are essential.
  • Must have a wide base of general knowledge and ability to provide input on special projects (eg. event management and marketing/advertising experience.)
  • Must exercise tact, maturity and discretion.
  • Must have excellent interpersonal skills and must be able to adapt effectively in a changing environment.
  • Liaise with VIP's and international guests; public relations form an integral part of the position.

Education and Experience:


The above is normally acquired through:

  • Completion of three years of post-secondary education.
  • Five years of experience preferably in a university environment or the equivalent in education and experience
