**Class III Clerk - Custodial Support Services
This is a full-time, 12-month ongoing position in the Human Resources and Payroll Department.


Under the direction of the Coordinator of Custodial Services, and the supervision of the Office Supervisor, the Custodial Support Services Clerk is responsible for: receiving, reviewing and processing time entry related to overtime hours, requests for vacation and use of banked time, etc., and maintaining related records; receiving, reviewing and processing requests for the purchase of supplies and equipment, preparing Purchase Orders and Requisitions, and monitoring related budget accounts; preparing and maintaining information related to the pest control program; and performing a variety of other related duties.


Responsibilities may include but are not limited to:

  • Receives, verifies, follows up on any discrepancies, and enters time cards for custodial staff on a biweekly basis into CIMS;
  • Enters replacements information into the system, reviews related reports, and forwards to applicable departments;
  • Monitors employees' overtime banks and identifies overtime to be paid vs. banked, based on both employees' requests and established limits on banked time, and responds to inquiries;
  • Receives and enters into CIMS vacation and banked overtime request forms from custodial staff;
  • Receives and processes for the Custodial Support Services Supervisors approval, requests for leaves of absence and answers inquiries regarding entitlement;
  • Receives, reviews, and processes requests for the purchase of supplies and equipment.
  • Ensures received supplies and equipment are input into SDS for payment;
  • Maintain Custodial Support Services supplies and equipment;
  • Receives, tracks, and process invoices from the exterminator for the Pest Control Program;
  • Compiles information regarding what chemicals were used, and in what quantities;
  • Provides assistance and coverage to the Custodial Substitute Calling Clerk as required and in their absence within the working hours of 6:00am to 2:00pm;
  • Prepares and distributes a variety of correspondence and other material for the Coordinator and Assistant Coordinator of Custodial Services;
  • Receives and prepares requests from Permits Department for costing of building usage by a variety of organizations;
  • Maintains and reviews relevant records to ensure that the terms of the collective agreement are met; and
  • Within HR, performs other related duties within this classification and other related classifications not exceeding skills and capabilities as required.

Qualifications:


  • Completion of secondary education along with additional administrative or office training, and two (2) years of related experience in an office environment;
  • Accurate keyboarding of at least 45 wpm;
  • Knowledge of and extensive experience with computer software including Microsoft office (Word & Excel) as well as HRIS, absence management software, and purchasing systems is essential;
  • Proficiency with Division based software and knowledge of Division policies, procedures and collective agreements would be an asset;
  • The ability to work independently, with mínimal instruction or guidance, and as part of a team;
  • Strong interpersonal communication skills, and the ability to deal tactfully with Division staff and the general public is required;
  • The ability to exercise initiative and sound judgment to react resourcefully under varying conditions;
  • Attention to detail and the ability to multitask in an environment with multiple interruptions, time pressures, and deadlines is required; and
  • Excellent organizational skills and the ability to exercise a high degree of confidentiality are essential.
