Position Summary:
The staffing / ward clerk is responsible for performing staffing functions for the nursing, housekeeping, laundry and maintenance department.
Under the guidance of the Director of Resident Care/designate, the Ward clerk performs a variety of clerical duties and is responsible for ordering nursing supplies, and maintaining the inventory system.
Qualifications:
- Grade 12 education.
- Completion of a recognized medical records/health unit clerk certificate and two years related experience in a health care setting. An equivalent combination of education and experience may also be considered.
- Demonstrated computer skills and proficiency in Microsoft Office.
- Previous experience with staffing and QHR electronic scheduling system preferred.
- Excellent organizational and interpersonal skills with demonstrated ability to communicate effectively, both verbally and in writing with staff, outside agencies and the public.
- Ability to work with a variety of sensitive information and to maintain confidentiality.
- Demonstrated ability to work independently with mínimal supervision and to exercise initiative and independent judgement in determining work priorities.
- Ability to maintain positive working relationships in a multi-disciplinary, team-based working environment.
- Ability to work in a fast paced environment.
- Good physical and mental health to meet the demands of the position.
- Satisfactory employment record required.

Key Responsibilities:
- Performs clerical duties specific to the area of admissions, internal/external transfers, discharges, diagnostic tests and procedures, records and statistical reports.
- Assists Director of Resident Care with staffing, posting of schedules/new positions and payroll inputting systems.
- Arranges for staff replacement due to vacancies, vacation, sick calls etc. in accordance with collective agreements and Betel Home guidelines.
- Assist with support services scheduling.
- Responsible for coordinating posting of all positions and maintaining accurate log
- Data entry in online systems.
- Orders and maintains inventory of all medical supplies and incontinent products.
- Processes all purchase orders for the Nursing Department as approved by DRC/CNM and forwards to Business Office for payment.
- Maintains confidentiality in accordance with policy and Personal Health Information Act.
- Develops and maintains positive working relationships.
- Types correspondence, minutes, and agendas for the nursing department as requested by the Director of Resident Care or the Clinical Nurse Manager.
- Update facility policy books with new and revised policies.
- Coordinate monthly blood work with lab.
- Responsible for nursing forms management which includes filing and restocking of all nursing department forms on a weekly basis.
- Checks and maintains nursing station office supplies on a weekly basis.
- Coordinate with the IERHA paneling clerk to scheduling all respite bed admissions.
- Participates in and demonstrates an understanding of resident safety principles and practices in all daily activities.
- Supports an environment which avoids, prevents, and corrects all activities or actions which may result in an adverse outcome in the delivery of health care services.
- Provides a safe environment by ensuring the adherence to Workplace Safety and Health regulations and Policies and infection Control Guidelines.
- Obeys all safety and health rules and follows recommended Safe Work Procedures.
- Informs supervisor of any unsafe acts, work conditions, incidents, near misses, injuries or illnesses immediately.
- Demonstrates a working knowledge of Workplace Hazardous Materials Information Systems ("WHMIS") and adheres to procedures for handling and storing controlled substances as described in the Material '"Safety Data Sheets ("MSDS").
- Uses personal protective equipment as required.
- Demonstrates understanding of role and responsibilities in fire prevention and disaster preparedness and participates in safety and health programs including the region's Fire, Disaster and Evacuation plan.
- The above listed duties and responsibilities reflect the core functions of the position. Related duties and responsibilities may be assigned as necessary to the operation of the facility.
