General Accountability:


  • Reporting to the Deputy Project Director
  • ATC the incumbent is responsible for performing general administrative and clerical activities associated with technical drawing specifications, correspondence and other documentation processed by the Automatic Train Control Project (ATC) in the Major Projects Department

Key Job Functions:


  • Coordinating the setup and ongoing maintenance of ATC project files, systems, manuals, databases,
- and documentation


This involves:
- coordinating the set-up of extensive files consisting of information on problem reports, projects, solution proposals, technical manuals, drawings, specifications etc.;
- maintaining an extensive technical library of drawings, specifications, manuals and other technical information related to the subway signal system, Computer Based Train Control/Computer Based Interlocking systems (CBTC/CBI), and related signal information;
- receiving, filing, tracking, issuing, microfilming and controlling documentation and files;
- compiling files to be archived in accordance with established policies and procedures;
- maintaining and tracking circuit change documentation including design notes, drawings, test records as built drawings and prints etc.;
- maintaining database for ATC Project drawing updates, new circuit implementations, shop drawings, and changes to be issued to ATC and other departments for construction;
- inputting data into various databases and network files, and generating reports required;
- maintaining records associated with APTA.
- assisting in the development and maintenance of the drawing and manual control procedures;
- maintenance of the ATC drawings, ATC Work Methods, and CBTC/CBI Equipment manuals as well as other related inventory listings/manuals
- tracking required drawings prints for signal circuit changes issued to other departments.

  • Responding to various requests for information and documentation, and ensuring the proper tracking of documentation when required. This involves; making prints of technical drawing in response to requests from Signals and Train Control, Electrical and other Engineering offices;
- ensuring all filed drawings are the latest up-to-date versions, and ensuring drawings are not lost or missing;
- monitoring and tracking procurements initiated by the section;
- routinely issuing status reports on open project concerns, circuit changes, tests, etc.;
- arranging the delivery of signal and ATC drawing prints to field locations;
- using the Maximo system to obtain data and reports regarding signal system performance for use by project staff.
- preparing routine correspondence, memos, letters, reports etc.;
- proof reading completed work by other staff to ensure clarity of content, spelling, punctuation, grammar etc.
- substitutes for the Administrative Assistant during periods of absence
