The Administrative Assistant plays a vital role in providing administrative support to Planning and Development Services at Strathcona County.

This position delivers administrative support to the Land Development Engineering Branch by drafting correspondence, preparing presentation materials, Council reports, issue briefs, as well as meeting minutes and agendas with high attention to detail and accuracy.


Responsibilities

  • Provide administrative assistance including coordination and minuting of meetings, managing inquiries utilizing County Connect, drafting and distributing correspondence, file retrieval/filing and customer assistance as required
  • Prepare draft correspondence, documents, agreements, reports, briefings and advertisements
  • Monitor and administer the development tracking log to ensure branch is adhering to required deadlines
  • Administer Construction Completion Certificates (CCC) and Final Acceptance Certificate (FAC) documentation (for subdivisions, commercial/industrial, and landscaping)
  • Input basic information into the ArcGIS mapping system
  • Act as Department Records Representative (extensive knowledge of SharePoint), including assisting in the maintenance of department file systems, establish and maintain central files, ensure records are maintained in accordance with corporate guidelines
  • Complete inventories of inactive, hardcopy records and retrieve records from offsite storage facilities
  • Provide coverage when requested for other department Administrative Assistants, as well as front reception on a rotational basis

Skills and Abilities

  • Demonstrated organizational and time management skills
  • The ability to prioritize tasks in a busy environment with competing demands
  • High attention to detail and the ability to problem solve
  • Excellent interpersonal, verbal and written communication skills, with experience in customer service
  • Proficiency in MS Office software (Office 365, Word, Excel, Outlook)
  • Experience and knowledge of SharePoint and Posse would be an asset

Qualifications

  • Minimum High School Diploma plus five years of related administrative experience
  • Certificate or Diploma in Business Administration or a related field is preferred
  • Experience and knowledge of operational practices and procedures within the municipal government sector environment is highly desirable
