Description

The Administrative Support Officer is one of the first points of contact for the School of Architectural Technology and the School of Applied Chemical and Environmental Sciences within the Faculty of Applied Science & Technology.

Reporting to the Associate Dean, the Administrative Support Officer will support the faculty with a comprehensive knowledge of the programs, personnel, polices and procedures as well as an understanding of the services available to students, employees and the general public.

The incumbent will perform a variety of administrative duties (e.g., clerical, reception, and secretarial) including financial transactions following established procedures and guidelines.

What You'll be Doing

Preparing, editing, and proofing correspondence, invoices, presentations, reports, and related materials;
Distributing and processing mail and co-ordinating activities to support operational flow of business;
Managing multiple calendars on a daily basis by scheduling and confirming appointments and meetings;
Processing payments, reconciling expenditures and recording journal entries according to established guidelines;
Running reports and performing standard financial analyses according to established guidelines;
Setting up and maintaining manual and computerized information filing systems;
Updating school virtual communities and communication platform channels with announcements;
Ordering and maintaining office supplies and printers;
Assist faculty with printing of tests and assignments;
Planning and coordinating meeting-related activities (e.g. agenda, room booking, disseminating communications and materials, taking meeting minutes, etc.);
Responding to phone and in-person inquiries and directing students and visitors to appropriate people and offices (i.e. One Card office, OTR, International Office, Coop Office, Counselling Office, Student Advisement Office, etc.);
Responding to students and tracking missed evaluations.

Assisting by taking minutes for School meetings and sending program maps and sell sheets to Print Centre for copying;
Performing other related duties as assigned.

About You

You have excellent oral and written communication skills.


You enjoy balancing many different tasks and can prioritize multiple projects while staying organized and maintaining a high level of attention to detail.

You use your interpersonal skills to build working relationships and provide excellent customer service.


2-year diploma in Office Administration, Business Administration, Business, Public Relations, Social Sciences, or a related field with a minimum of 1-year practical experience in an educational, customer service or business environment.

Equivalency will be considered.

Knowledge of PeopleSoft is considered an asset.

Monday to Thursday, 9:00am - 3:00pm, 9:30am - 3:30pm or 10:00am - 4:00pm (schedule to be confirmed upon hire)
