Contract Administrator to join our growing team


Our ideal hire would have an in-depth understanding of construction management procedures and experience in planning, scheduling, and assessing project specific needs such as materials, licenses, permits, and equipment.

We are looking for a motivated self starter, who works well within a team or independently.

As a Contract Administrator, you will be responsible for:_

  • Review our daily schedule and liaise with field staff to match scope, production and quantities to estimates.
  • Verify quantity usage to asphalt plant production reports.
  • Work with Project Managers to ensure that documentation meets audit requirement including accurate subsubcontracts, packing slips (as required), work orders, etc.
- maintain detailed daily diaries of contractor's / site supervisors work, contract progress and inspection milestones.

  • Support in negotiations of claims, variations, changes and disputes with contractors in collaboration with Project Management, Estimation Department and others as required.
  • Interface with the project team, internal departments and external vendors on matters such as cost, performance, progress assessment, payments, reporting, trends, and change orders.
  • Ensure approved construction materials are used and acquired from approved sources and a record is kept of such materials.
  • Works closely with project managers to identify and verify information on a project when there is over or under runs in weight and or hours. Monitors status of project change orders for over/under runs.
  • Report contract(s) performance on a regular basis.
  • Work with project managers, engineers, clients and others to make sure that the project invoicing and progress goals are met.
  • Maintain weekly meetings and communication with the Project Managers
  • Work closely with Finance staff to oversee any balances owing/refunds due
  • Work with other Finance staff to provide documentation and review payments
  • Analyze project billings and prepares payment status reports.
  • Processing progress payments, change orders, submittals, IR/CR, change directives, leading site meetings, preparation of minutes, and providing guidance to field staff in relation to construction contract documents.
  • Contacting clients to answer questions about billing statements or payment plans
  • Continuously looking for opportunities to increase Data Accuracy, data collected from project managers, estimators and Contract Administrators.
  • Ensures jobs are billed within the appropriate time to accommodate credit department and contract requirements
  • Identifying, preparing, and recording all billable activity resulting from new and existing projects and contracts within monthend time constraints
  • A degree or diploma in construction management and/or civil engineering is preferred.
  • PMP designation is considered an asset.
  • Experience with major projects is considered an asset.
  • Experience using Bid2Win (B2W) estimation software or Jonas Accounting software is considered an asset
  • Basic knowledge of construction equipment & techniques, drawing & specifications, building materials and required standards applicable to the project.
  • Prior (23 years') work experience in a contract management role, purchasing or contracting
  • Proficient in Microsoft Office (Word, Excel and PowerPoint).
  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or request for changes/claims from subcontractors, management, coworkers, or clients.
  • Effective communication skills
  • Ability to multitask and prioritise various tasks with conflict deadlines.
