Position Summary:


Under the direction of the Principal of the International & Continuing Education Program, the Administrative and Marketing Assistant will support marketing and social media initiatives that will continue to promote the Board's program for the explicit purpose of recruiting international students for the various programs, and developing the virtual/online school, in addition to supporting the promotion and development of international programs for our domestic students.


Major Responsibilities:


Reporting to the Principal of International Education, the Administrative Assistant is responsible for and oversees the effective, efficient and functional operation of the International Education Programs, and the Continuing Education Programs for which the Principal is responsible.


Function as a liaison between principal, board personnel, staff at schools with international students, students and guardians, and providing secretarial support by preparing confidential correspondence, Ministry and Board reports, general memos, etc.


Maintain calendar/chronological binder of major tasks in anticipation of peak workload periods and assist in the coordination of these major tasks - establishing work flowcharts as required.


Update and maintain information on International Education Programs Website and create, update and maintain social media platforms (Instagram & Facebook).


Produce a Newsletter (4 times yearly - setting up timelines, collecting submissions from schools where International Students attend, verifying freedom of information) and posting on Program website.


Assist Principal with Post-Secondary Information Fair for International Students - maintaining a list of all recruitment officers, and ensuring that all proper documentation is received prior to Fair.

Assist with the development of the on-line school and provide all administrative support students), preparing all necessary packages and information regarding online/virtual school's course offerings.

Provide all administrative support relating to the offering of international programs for our domestic students.


Create various flyers in Adobe Creative Suite and Microsoft Publisher (agent flyers, ICEF Insight magazine, OASDI website, CAPSI website, summer camps, GAP year program).


Regular transfer of program graphics/documents/flyers to Earth Edu - China and all other global marketing partners, ensuring their websites and marketing materials are current and correct.

Develop and maintain promotional videos - internally and in partnership with external marketing agencies.


Conduct research & create various spreadsheets (annual comparative tuition, annual comparative summer camp, student registration checklist and student interest forms).

Future support for summer camp programs (both domestic and international students).


Prepare purchase requisitions, receive and distribute all deliveries along with processing packing slips and invoices, maintaining files of vendors and following up on back orders.

Maintain all necessary Maplewood reports and prepare all necessary materials for Ministry purposes.

Assist with the proposals for Ministry grants.


Yearly update of Student Information Forms with a focus on Freedom of Information; maintaining all student emergency records including epi-pens and advising schools accordingly.


Qualifications and Experience:

College Diploma or University Degree

Experience in graphic design, marketing and development of social media platforms

Solid knowledge of Microsoft Office, Adobe Creative Suite, Microsoft Publisher, Maplewood, SAF and SFE


Skills and Competencies:

Excellent communication skills and problem solving

Strong presentation/graphic design skills

Demonstrated ability to build strong and trusting relationships with all stakeholders

Superb organizational and time management skills

Ability to manage multiple priorities and projects

Attention to detail


The above position is posted in accordance with CUPE 2331 Collective Agreement Article The salary will be as per placement on the Salary Grid of the current CUPE 2331 Collective Agreement.
