Overall Mandate:


  • Administer the Operations activities of Schuyler Farms Limited
  • Provide services to the organizations management and employees in a way that fosters a positive culture that is inclusive to all employees and cements Schuyler Farms Limited as an employer of choice.
  • Compile and maintain record keeping systems for the organization in a way that is accurate, complete, and done with integrity.
  • Complete filings and submissions that meet all regulatory requirements that the organization as directed by the COO and other members of the executive where appropriate.

  • This role requires an individual that can take requests, solve problems, and resolve concerns by making decisions efficiently and without prejudice. Determining urgency, acting with consistency, and gatekeeping issues that require insight from management.

Job Duties and Responsibilities:


Administration of the operational elements of human resources, regulatory compliance, and the policy and procedures of the organization:

  • Work with management to administer policies that meet the operational needs of the organization and its employees.
  • Complete filings and record keeping as directed by management that are required for the organizations ongoing regulatory compliance.
This includes, but is not limited to the following programs or areas:
Occupational Health and Safety Act, Worker Safety and Insurance Act, Employee Standards Act

  • Understand, communicate, and use the Schuyler Farms Limited Employee Handbook as a guide when responding to and or administering the requests of individuals employed by the organization.
  • Act as first point of contact for the employee's questions about general policy, housing, who, what, where type questions about doing and or finding things in the local area, etc...
  • Inform management in all observed instances where employees fail to uphold policy. Document these instances where required.
  • Complete files, compile data and records as required for ongoing reporting or oneoff requests by management.

Examples include but are not limited to:
Collection and filing of trip sheets and other logs related to the transportation of people and or goods.

General data entry of paper records into electronic systems or files.


Examples of Administrative Tasks Relating to Employees:

  • Facilitate onboarding and other training as directed in conjunction with Human Resources.
  • Complete forms for health and safety, WSIB, and other areas of record keeping.
  • Compile hours worked for submission to Human Resources for payroll. This may require also the administrator to be first point of contact with crew leaders and employees for compiling information about jobs and locations worked during those hours.
  • Compile additional data points that build the metrics used by the organization to evaluate operational efficiency and health.

Examples include but are not limited to:
Daily labour hour recording by individual employee

Identification and allocation of the individual's or crew's labour to a job site, business unit, etc as required.
Daily production statistics - E.G., amount of bins picked and from where, acres covered by an operator etc.
Quality of work performed, packout performance and quality etc.

  • Resolve any questions or issues that arise from job recording as above gate keeping and passing concerns on to management as required.
  • Work with the operations management team to report absences, instances of willful errors in reporting should they occur, and other problems with an employee's hours submission.
  • Work with other administrative and or management staff on any of these example tasks or other tasks as assigned.

Examples of Administrative Tasks Relating to Employee Housing:

  • Allocate housing based on operational need.
  • Direct the preparation, maintenance, and ongoing inspection of employee living quarters.
  • Meet employees when they arrive on farm or designate others to do so.
  • Inventory and allocation of supplies furnished by the employer.
  • Maintain chore lists, complete inspections, collect health checks, or other documentation as required.
  • Act as first point of contact for any issues or questions relating to operations that arise.
  • Complete end of season employee check out of housing.
  • Work with other administrative and or management staff on any of these example tasks or other tasks as assigned.
