What You Will Do:


  • Reporting to the Director
  • Planning, Resources and Administration (PRA), the incumbent is responsible for leading a team of support staff in providing administrative, operational and office support services for all sections of the Information Technology Services (ITS) Department. This position will assist with workforce planning, budgeting, human resources management, departmental performance analysis, and performs a variety of tasks related to the department's management and administration. The incumbent ensures such activities are carried out in accordance to TTC policies, departmental procedures/guidelines, industry practice and professional standards.

You will take care of administration where you will maintain and oversee execution of all administrative functions for the department, act as the departmental contact for queries regarding administrative procedures and corporate policies; and respond in a confidential and professional manner, purchase materials and supplies, ergonomic furniture, specialty orders (tools), and courier services for the department as required; and arranges for necessary repairs and services, including declaration of surplus furniture and act as departmental coordinator responsible for the provision of parking tags, property access keys, property permits, transportation photo passes and property access cards, and maintains associated records.

You will be involved in Budgeting and performance analysis where you will coordinate the preparation of weekly and monthly reports related to a variety of matters and helps define reporting requirements, prepare and manages the section's operating budget, prepare and manage departmental corporate system contract budgets such as materials and supplies, furniture, courier services and specialty tools.

You will be responsible for Office Security and safety and space management where you will act as primary contact for office safety related issues, liaise with the Safety Department as well as Joint Health and Safety Committee, coordinate and ensure office safety deficiencies or requests are addressed and resolved, coordinate and ensure the department's safety policies and procedures are adhered to, manage the ITS department's office space at various locations, and act as primary liaison with the Property Development Department regarding leased office space and direct tenant servicesYou will support HR, training and payroll administration by acting as the departmental Designated HR Transaction Initiator (DHRTI); setting up and maintaining confidential employee records, tracking short and long term disability absences, maintaining files of all departmental job descriptions, managing the payroll administrative requirements for ITS department staff, overseeing the work of administrative support staff to ensure Commission/Department standards are maintained and established deadlines are met, managing the administration of internal/external training requirements for the department, liaising with vendors to ensure proper costing and registration requirements are met and in adherence to budget.

In addition to the above, you will develop and monitor goals and objectives, activity levels and performance measures for administrative services staff, delegate assignments, directing the work flow, and monitoring work results to ensure quality and quantity standards are maintained, treat passengers and employees with respect and dignity and ensure the needs of passengers and employees with disabilities are accommodated and/or addressed (if applicable and within their area of responsibility) in accordance with the Ontario Human Rights Code and Related Orders so that they can fully benefit from the TTC as a service-provider and an employer and perform related duties as assigned.
