SCOPE

Reporting to the Manager, Student Accounts Office, the incumbent is the contact person for information pertaining to the billing and collection of student accounts, particularly for those student accounts paid by a third party, sponsorship, and other student accounts with special billing requirements.

Emphasis is on the collection of delinquent accounts and are responsible for the collection of past due accounts, making arrangements of payments for these accounts and responding to complex inquiries from students.


PRIMARY RESPONSIBILITIES

  • Ensure the collection of medium to large delinquent accounts for students over incurring additional costs by collecting these accounts through external recovery services.
  • Oversee the billing and collection of all student accounts paid by a sponsor and accounts with special billing requirements.
  • Act as the primary contact with the Student Accounts Office external collection agency ensuring that their case files are up to date and the service level agreement is maintained.
  • Reconcile accounts receivable and other clearing accounts. Prepares journal vouchers.
  • Coordinate and process the billing and collections of student sponsorships, third party payment and other special billing arrangements
  • Participate in the optimization and a sound management of the accounts receivable and cashiering operations by: collecting delinquent accounts, establishing acceptable payment arrangement, taking appropriate action with regard to the collection of overdue accounts, posting adjustments, account flags and special notations to students' accounts as necessary, processing retroactive adjustments, and by providing guidance to other Student Account Office staff.
  • Provide information and services related to student accounts and operations by answering complex account inquiries, researching and verifying account transactions and balances; by responding to student inquiries; by acting as a resource person for Student Accounts.
  • Perform other duties in support of the unit.

REQUIREMENTS

  • Diploma Collegial Studies (3 year technical DEC) and two to four years of relevant work experience in processing financial transactions, with at least one year of experience with account collections and performing accounting functions.
  • Good knowledge (Level 4) of spoken and written English and French in order to compose and proofread correspondence and advise staff and students about university policies.
  • Good knowledge (Intermediate level) of Word and of Excel.
  • Knowledge of Accounts Receivable processes and controls.
  • Knowledge of best practices in collection processes.
  • Experience with Financial and Student Information Systems (PeopleSoft, SAP).
  • Strong numerical and analytical skills; accuracy and attention to detail.
  • Excellent interpersonal, communication, listening and problemsolving skills; customerservice orientation.
  • Ability to work as part of a team and independently.
