Job Summary
Reporting to the Physician Services Manager, the Administrative Officer provides senior administrative support to the Department Head, as well as supervises in-scope departmental secretaries.
The administrative support includes final document preparation, arranging meetings and interviews, managing time schedules, general organization within the office, coordination and preparation of financials, maintenance of statistical reports for internal and external purposes.
The incumbent will also provide research and analytical support to task advisory groups associated with related projects. The incumbent will assume responsibility of projects with minimum supervision. Ability to coordinate activities with multiple partners is an important component of the position.The Administrative Officer will work closely with other Administrative Officers and the Physician Services Manager in standardizing secretarial positions across all oncology departments within CancerCare Manitoba.
Qualifications
- Required:_
- Successful completion of a recognized administrative training program or the equivalent in education and experience
- Minimum of five years providing administrative/secretarial support
- Three years' directly related experience supporting an intermediate / senior level leader
- Two years' supervisory/leadership experience
- Ability to work independently interfacing with highly skilled professionals in a team environment and provide
- Demonstrated ability to organize, assign and supervise the work of secretarial staff
- Experience scheduling and coordinating meetings and travel
- Experience recording and preparing minutes and agendas
- Experience maintaining spreadsheets and databases
- Proficiency with Microsoft Office programs (e.g. Outlook, Word, Excel, PowerPoint, Access)
- Satisfactory employment record
- Must be legally able to work in Canada
- Will be assessed during interview process:_
- Excellent communication skills, verbally and in writing
- Ability to work in a fastpaced environment and work effectively under pressure to meet deadlines
- Demonstrated problemsolving skills
- Will be assessed during testing process
- Typing speed of >65 wpm
- Written composition exercise

- College or undergraduate education in business
- Experience working in a healthcare environment
- Experience working in a unionized environment
- Skills in project management
- Ability to speak French
