Description
We are looking for a highly organized and detail-oriented individual to join our team as a Proposal Coordinator.

In this role, you will be responsible for coordinating the preparation and submission of proposals and bids in response to client requests and invitations to tender.

Collaborating with regional Business Development Managers to ensure the delivery of high-quality documentation.


Key Responsibilities:


  • Coordinate the proposal development process from beginning to submission, ensuring adherence to deadlines and requirements.
  • Collaborate with internal teams such as sales, marketing, and technical departments to gather necessary information for proposals.
  • Review proposal requirements and develop proposal outlines, templates, and schedules.
  • Conduct research to gather relevant data like market trends, competitor analysis, and client insights for proposals.
  • Write and edit proposal content, ensuring accuracy, clarity, and alignment with client requirements and company branding guidelines.
  • Maintain a centralized database or library of proposal materials, including templates, case studies, and past proposals, for easy access and reference.
  • Assist in the preparation of presentation materials and collateral for client meetings and presentations.
  • Consistently assess and enhance proposal procedures, templates, and workflows to optimize efficiency and efficacy.
  • Providing routine updates on Business Development activities.
  • Assist with updates to company CRM

Qualifications:


  • Bachelor's degree in marketing, communications, or a related field.
  • Proven experience in proposal coordination, bid management, or a similar role.
  • Excellent written and verbal communication skills, in both English and French, with the ability to craft compelling proposals and communicate effectively with internal and external stakeholders.
  • Strong organizational and project management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Attention to detail and accuracy in document preparation and proofreading.
  • Proficiency in Microsoft Office Suite and experience with CRM systems and Graphic Design platforms (CANVA) is preferred.
  • Ability to work independently as well as collaboratively in a teamoriented environment.
