  • Reports to: Director of events Management
  • The

Events Manager will be responsible for coordinating logĂ­stical and operational elements of assigned meetings, shows, and special events while providing high-quality service and client relations to ensure successful events.

  • Additional duties include:
  • Manage the logistics, business relationships, communications, and execution of all events as assigned.-
  • Conduct and coordinate meetings, appointments, and site inspections with clients and/or service providers for assigned accounts.-
  • Gather event-related requirements (i.e., floor/rigging plans, insurance, security and first aid schedules, emergency response plan, food and beverage requirements, event information, etc.) for each assigned Event.-
  • Accurately detail each event and communicate these requirements via Event Order (EO), Event Resume (ER), and Floor Plan to facility staff and in-house service providers.-
  • Research, coordinate, track and analyze all aspects of the Food & Beverage operations.-
  • Provide menu planning, customization, and consultations with clients.-
  • Maintain a standard of service on all levels for each Event that is satisfactory to the client while maintaining The International Centre's policies and procedures.-
  • Provide continuous on-site support, coordination, and contact with clients, facility staff, and service providers to ensure all events run smoothly.-
  • Program electronic and LCD signage for assigned Events as required, and prepare correspondence, agendas, and meeting minutes for assigned Events.-
  • Provide on-site updates, post-event reports, and recommendations for each assigned event to the Director of Events Management.-
  • Manage and maintain event files in a tidy, well-organized manner, and attend and/or chair meetings associated with the Operations Department-
  • Propose new ideas to improve the event planning and implementation process for the Events Management Department.-
  • Maintain assigned Events in Event Business Management Software (EBMS).-
  • Coordinate and chair pre-show and post-show meetings as required with clients, suppliers, and facility staff.-
  • Adhere to and promote health and safety regulations.-
  • Embrace and act as an ambassador to the company's CSR platform and understand its business impact.-
  • Provide support to other departments and staff as required.-
  • Other duties as required
  • Job Specifications and Qualifications:
  • Minimum five (5) years experience in coordinating events.
  • Welldeveloped verbal and written communication skills, including proofreading skills.
  • Professional demeanor and ability to relate easily to a wide range of stakeholders.
  • Strong organizational, project management, multitasking, and timemanagement skills; ability to balance multiple projects seamlessly while adhering to stringent deadlines.
  • Resourceful, proactive, and a selfstarter with a blend of analytical and problemsolving skills.
  • Ability to work well independently and as a contributing team member.
  • Excellent Microsoft Office skills; thorough knowledge of Microsoft Word and Excel.
  • Experience with EBMS or Delphi is an asset.
  • Menu planning and consultation skills are an asset.
  • Knowledge of food and beverage cost controls is an asset.
  • Must be willing to attend companyrelated events; therefore weekend and evening work will be required occasionally.
