Administrative Assistant ( TERM )This is a term office position working 40 hours a week, Monday to Friday.

General Clerical Duties:
- Staying familiar with the Residential Tenancies Branch policies and ensuring Property Management Team is compliant.
- Collaborate with the RTB to correct compliance issues.
- Follow AGI schedule, prepare AGI spreadsheets for accounting and data enter applied/approved rent amounts.
- Assist the General Manager in scorecard creation and annual scorecard updates.
- Gather and prepare analytics and for Property Manager scorecard evaluations.
- Determine rents on new leases and annual increases based on legislation.
- Assist in special projects and assignments as needed.
- Assist in the preparation of reports, and spreadsheets as required, update project tracking sheets including the lease workflow, internet/hydro spreadsheets, RTB-AGIOUT, master cheat sheet, etc.
- Assisting reception during peak times of the month as needed.
- Assist in training receptions staff.
Document Creation:
- Creating and formatting forms and templates.
- Creation, distribution and tracking of all lease documents including leases, lease renewals and required RTB documents.
- Creation of new procedures and policies.
- Entering memos, guest card and increases including unit rents and lease charges.
- Processing lease execution and moveins in Yardi.
- Updating tenant files and tenant ledgers in Yardi.
- Maintaining the fob and intercom systems.
- Assign and manage rentable items in Yardi.
- Other duties as assigned.
Qualifications:
Education and Experience:
- Secondary education in administrative studies
- 23 years experience in an administrative role in Property Management environment is ideal.
Knowledge, skills, and abilities:
- Knowledge in Yardi system an asset.
- Intermediate level skills in MS office software, i.e., Word, Excel, Outlook, and Power Point
- High level of organization and attention to detail.
- Excellent written and verbal communication skills.
- Selfmotivated, able to take responsibility, demonstrate initiative and a proactive approach to daily tasks.
- Excellent interpersonal skills.
- Punctual and reliable.
- Flexible attitude.
