OVERVIEW


The Distribution Coordinator is responsible for customer order management and monitoring refinery and 3rd party logĂ­stical resources utilizing the company's transportation management system (TMS).

The individual drives alignment with cross-functional partners such as Customer Service, Operations, Transportation, Planning, and 3PL providers. The role will be strategic and tactical and have daily responsibilities.

They will provide support to the Site Distribution team to execute the tactical logistics associated with the location's footprint and customer base by tracking and tracing shipments as needed.

Responsibilities also include coordinating with 3PL providers and identifying and correcting issues that arise regarding inventory placement, stock levels, and space availability.

This position can serve as a backup role to Assistant Distribution Manager when needed and provides developmental leadership opportunities to enhance career progression.


DETAILED ROLES & RESPONSIBILITIES

  • Works closely with the Planning and Logistics teams regarding any shipping capacity concerns at the refinery or 3PL.
  • Maintain the Customer Pick Up (CPU) inbox for TMS, responding to customer and carrier inquiries.
  • Responsible for communications with the local 3PL with regards to their appointments for both customer shipments and STO receipts, while also addressing any carrier issues that are site specific.
  • STO entry and deletions for all 3PL and copacker activity including Belleville bulk stock moves.
  • Track and trace expedited prepaid packaged LTL and TL customer orders to destination.
  • Package schedule and publication and point of contact for packaged distribution related issues for Customer Service, carriers, and 3PL.
  • Recover missed and late loads for refinery and 3PL and copackers including No shows, No accepted load, Give backs
  • Monitor SAP open order reports at both the refinery and local 3PL to ensure all packaged orders have shipped on time.
  • Communicate with CSRs and Sales regarding packaged product availability.
  • This role will need to be involved in reverse supply chain discussions and meetings.
  • Review packaged open orders, in transits, and open returns based on a daily/weekly/monthly process to ensure timely posting of orders and accurate month end closing.
  • Accountable for inventory adjustments at 3PL, including tracking Electronic Data Interchange (EDI) failures related External and 3PL warehouses.
  • Understanding of documentation requirements for cross border shipments, working with ASR Customs Broker on clearance of shipments and a general tariff understanding for products that get shipped outside of Canada. Work closely with ASR US and Belleville customs compliance departments.
  • Identify and propose opportunities for operational improvements.
  • Assist the distribution team with tasks related to daily operations.

This could include, but is not limited to:

  • Resolve 3PL transportation issues
  • Stock Transfer Order management
  • Shipment/receipt posting
  • Open transaction reporting
  • Return Processing and Reverse Supply Chain activities
  • Assist with monthly inventory reconciliation
  • Monitor daily activities, ensuring maximum utilization to drive direct vs indirect shipments.

WORK EXPERIENCES

  • Background in Supply Chain
  • Procurement, Manufacturing, Warehousing, Distribution, Logistics, Planning, Customer Service
  • SAP experience preferred

EDUCATION REQUIREMENTS

  • BS degree in Supply Chain, Business, or Operations, or equivalent related experience
  • APICS certification a plus
