ABOUT THE JOB


Canadian Mental Health Association, BC Division is looking for a Bilingual Administrative Coordinator to support CMHA National BounceBack / Retrouver son entrainMC.

BounceBack is a self-guided, skill-building program designed to help adults and youth 15+ manage low mood, mild to moderate depression, anxiety, stress or worry.

Delivered online or over the phone with a coach, clients receive access to tools that will support them on their path to mental wellness.


DUTIES AND RESPONSIBILITIES

  • Review of BounceBack referrals through the referral tool.
  • Receive and screen referrals for completeness, ensure referrer and participant contact information is included with all necessary information for coach including, phone numbers, address and postal code.
  • Followup with potential participants for more information in both official languages.
  • Enter all new referrals into the database, place referral form in folder and label with participant name and case ID.
  • Confirm contact information of Primary Care Providers (PCP) across the country and enter into electronic medical record database and fax PCP letter confirming acceptance of clinical responsibility.
  • Make initial phone call to participants and book their intake session with BounceBack Coach directly within 510 business days after confirming clinical responsibly.
  • If ineligible, based on specific program criteria, send follow up letter to PCP and individual.
  • Relay messages to BounceBack Coaches, cancels appointments when Coaches off sick or away.
  • Track all new program referrals assigned to BounceBack Coaches, monitor coach caseloads and weekly scheduled calls.
  • Answer basic coach questions about documented and established policies and procedures, and refer them to program management, supervisors or clinical team as required.
  • Advise and keeps the National Manager updated and informed of issues which may arise.
  • Perform additional duties as required.

QUALIFICATIONS & EXPERIENCE
Education and Experience

  • Completion of an office administration certificate and/or an equivalent combination of education, training, and experience Or other Qualifications determined to be reasonable and relevant to the level of work.
  • A minimum of three years relevant experience.
  • A criminal record check including vulnerable sector is required.
  • Previous customer/patient support experience is an asset, especially in the health field.
  • Personal experience with mental health problems, through self or loved ones, is an asset in this role.
Skills and Abilities

  • Bilingual (French & English) is imperative for the role.
  • Ability to exercise good judgment and work with sensitive, critical and confidential matters.
  • Professional written and verbal skills with proven ability to communicate effectively, clearly and thoughtfully with all organization levels including the public, staff, consultants, CMHA Branch personnel, external agencies, and other partners.
  • Exceptional attention to detail and followthrough.
  • Network knowledge, Internet, videoconferencing, data management systems and electronic medical record systems.
  • Demonstrated ability to work independently, collaboratively.
  • Strong multitasking and organizational skills to prioritize, organize and meet deadlines.
  • Demonstrates resourcefulness and innovation to solve problems.
  • Balance of being goal and task oriented and also able to pivot quickly if a program needs or opportunity arises.
  • Selfstarter able to work with limited supervision in a remote work setting.
  • Capability to work independently or within group dynamics as required.
  • Ability to maintain confidentiality and privacy.
  • Proficient critical and analytical thinking, problem solving and judgment abilities.
  • Highly motivated and passionate about mental health.
  • Exceptional organizational and time management skills with a strong attention to detail.

WORKING CONDITIONS

  • This position will be remote based.
  • Flexible hours of operation that includes evenings.
  • Work in a variety of settings or in partnership with other health agencies may be required.
  • Attend posthire training events and participation at supervisory meetings is a requirement.
  • The Administrative Coordinator is a unionized role with the Health Services and Support
  • Community Subsector Association. The role is at Administrative Support 4, Grid 25 benchmark with an hourly rate of $24.00.
  • This is a term position with an anticipated end date of December 31, 2023, with the possibility of an extension.
