***: Reporting to the Manager - Total Rewards, the Assistant acts as the main point of contact for the Total Rewards team handling all client service needs, logging all forms and requests, providing statistics on service, data entry, and providing total compensation information to Managers and employees. This role provides assistance with on-boarding of all new hires to Kingston Health Sciences Centre after the initial recruitment and selection. This role is responsible for hard copy file maintenance and coordinates reporting for trial and probationary periods along with age monitoring with respect to benefit entitlements.

Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy.

As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.


RESPONSIBILITIES & DUTIES INCLUDE:


This role is the first point of contact to the department for managers and employees including education on the completion of forms and ensuring the smooth flow of information throughout the various areas within People Services.

The Assistant responds to employee queries by interpreting Hospital policies and collective agreement language around employee benefits, HOOPP and compensation and provide extensive data entry into HRIS systems primarily with on-boarding of new hires.

The Assistant is responsible for the management of the central People Services inbox to route requests for information, transfers, hires, terminations, and leaves.

The role is accountable for the organization, maintenance, and access control of all employee files.


This role will also verify employment and coordinate and monitor probation and trial periods, temporary vacancies and age for the purpose of benefits.

BASIC QUALIFICATIONS- Three-year Human Resources Management or Business Administration diploma from a community college or equivalent combination of education and experience. Minimum of one year experience in human resources or administration. Excellent communication skills with demonstrated ability to multitask and communicate effectively and be courteously at all times. Excellent organizational skills including the ability to prioritize workload to meet deadlines. Ability to perform in a high paced, high demand role with accuracy and attention to detail Ability to appropriately handle sensitive and confidential information concerning employees and patients. Evidence of good organizational skills with the ability to work under peak pressure and time constraints is essential. Must demonstrate ability to take initiative to improve work processes. Demonstrated ability to work with mínimal supervision as a team member. Advanced knowledge of Microsoft Office programs. Knowledge of human resource information systems (HRIS). Successful criminal background check with vulnerable sector search
