SECRETARY, ADMINISTRATIVE SUPPORT

PERMANENT FULL TIME
70 hours bi-weekly - Days, including no weekends

SEIU Clerical Hourly Pay Rate:
$ $28.6843


The primary focus of the Division of Neurology has been on assessment of and management of cognitive impairment due to brain disorders and movement disorders.

The objectives of our program are focused on clinical service, education and research within a model of extensive interdisciplinary team collaboration in all three spheres.


The Division of Neurology has significantly benefited patients, families, and caregivers by providing them with diagnostic information, treatment plans, and strategies for ongoing management.


Responsibilities include but are not limited to:

  • Act as the administrative support to the Medical Director for Cognitive and Behavioural Services and the Division Head of Neurology
  • Coordinates and maintains electronic calendar/schedule for Head of Neurology Division including: coordinating, scheduling and confirming appointments and various other activities; using judgment and diplomacy to reschedule or book appointment according to frequently changing priorities; ensuring appropriate materials are brought forward for scheduled appointment; confirming and monitoring attendance of various outside and inside attendees
  • Developing presentations and other meeting materials using PowerPoint, Word and Publisher and preparing agendas and taking minutes of meetings as required
  • Coordinate academic activities for research and medical fellows as well as research assistants and students, including preparing and processing documentation, arranging schedules, planning orientations and onboarding (this involves documents for the College of Physicians and Surgeons of Ontario, the University of Toronto, and the Canadian Medical Protective Association)
  • Providing administrative support to the Head of the Division of Neurology including initiating correspondence, organizing and taking minutes during meetings and prepare and send out correspondence related to the activities and programs of the Division of Neurology
  • Act as a key communication link between medical and nonmedical staff both through correspondence and through the administration of various meetings and forums intended to ensure collaboration

Qualifications include but are not limited to:

  • Post-graduate education specifically in Administrative Studies or equivalent Excellent computers in Word, Excel, PowerPoint, MS Outlook and literature searches
  • Ability to well represent the first contact for the Neurology Division
  • Superior communication skills (verbal and written), and exceptional organizational ability
  • Ability to prioritize workload and work within a fastpaced, deadline driven environment and ability to think and plan independently, but also work in a team environment
