    Job Summary:

    TheAdministrative Coordinatoris responsible for the administrative operations of the Indigenous-specific Anti-racism (ISAR) Education team and provides key administrative support to the Director, Indigenous-specific Anti-racism Education to ensure timely services.

    The position is responsible for the planning and coordination of education events with teams across PHSA, developing and maintaining processes to monitor the progress of ISAR training for PHSA teams, and schedulingfacilities and catering for education events.

    Assists facilitators with coordination, internal communication, budget monitoring and travel for team members.

    The ISAR Education administrative coordinator is part of a new and innovative Indigenous led team where we continue to work towards dismantling and disrupting white supremacy throughout theorganization.

    Our Indigenous Health team continually works to eliminate Indigenous-specific racism and hardwire Indigenous Cultural Safety and humility across PHSA and the health system.

    The Indigenous Health program works provincially throughout B.C.

    Duties/Accountabilities:

    • Oversees the day-to-day administration of the ISAR Education Pan and Implementation Strategy and works closely with the Director to provide key administrative support. Manages and tracks information in support of the roll out of the ISAR Learning Journey across PHSA. This include the preparation and submission of human resource and financial documentation such as E-Forms; processes timekeeping for staff, responds to related questions and takes follow up action on issues; assists with the development of promotional and distribution materials such as ISAR publications and resource materials; and maintains the Resource section of the ISAR page on pod.
    • Develops and maintains the schedule for the ISAR team in accordance with established staffing and service levels and other requirements such as promotional and educational responsibilities. Responds to and takes corrective action to resolve scheduling issues, escalating issues to the Director as required.
    • Works closely with the Director to support quality assurance initiatives and the evaluation process. Collects relevant data and assists with the analysis of data against prescribed performance criteria. Participates in quality assurance reviews and meetings and provides input on quality improvement related to program administration and staff scheduling.
    • Produces a variety of statistical reports on a monthly, quarterly, annual and/or ad-hoc basis by gathering and collating data related to ISAR team service levels, utilization, and performance. Conducts research and gathers data for special projects, education, initiatives and strategic and long-term ISAR learning journey planning.
    • Assists with communication and co-ordination among and across areas and organizations through the preparation of correspondence, reports, resources, memos, training manuals and budget reports. Communicates with teams across PHSA engaging in the ISAR Learning Journey and assists in the planning, coordinating, organizing and preparing of meetings, conferences, and educational activities as required. Responsible for archiving of both administrative and training records.
    • Assists in budget development ensuring information is current and accurately compiled, monitors expenditures, ensures invoices are authorized, and analyzes and reports variances for the program. Completes purchase requisitions/online purchasing and forwards for processing, and ensures invoices are authorized and submitted for payment.

    Qualifications:


    A level of education, training and experience equivalent to a diploma in business or administrative management plus four (4) years recent, related experience in office administration.

    Demonstrated ability to work independently and to investigate, resolve and/or triage administrative issues/problems.

    Demonstrated ability to communicate effectively both verbally and in writing including the ability to respond to internal and external enquiries with diplomacy, courtesy and discretion.

    Effective interpersonal skills including the ability to establish and maintain co-operative and collaborative working relationships with a wide range of staff and leaders.

    Demonstrated effective time-management skills including the ability to organize and prioritize work and to meet frequent and tight deadlines.

    Demonstrated ability to exercise sound judgment, initiative and a high attention to detail in the completion of complex assignments Demonstrated ability to use computer related equipment including word processing, spreadsheet, database, internet and presentation software at an advanced level.

    Ability to provide leadership, guidance and direction to others.

    Demonstrated knowledge of Canadian colonial impacts on Indigenous Peoples in social and health contexts, supported by significant knowledge of Indigenous ways of knowing and being.

    Lived experience, knowledge and appreciation of the unique history, cultures, and rights of Indigenous Peoples in Canada.

    Lived experience as an Indigenous person and demonstrated knowledge of Indigenous health care needs, services, and issues as well as knowledge of culture, protocols, traditions, and ideology of Indigenous people and organizations in British Columbia is an asset.
