Michael's Hospital Department of Emergency Medicine provides clinical, educational, research and other scholarly activities through its 38 full time and 4 part time physician emergency medicine specialists.


The Administrative Assistant formally reports to the Clinical Leader Manager (CLM) while providing day-to-day clinical and administrative support to a physician, or group of physicians.

The Administrative Assistant coordinates daily activities to ensure smooth functioning of the physicians practice, while providing professional and caring service to the patients.


DUTIES & RESPONSIBILITIES:

Performs general secretarial duties including answering the telephone, arranging meetings, opening mail, and receiving visitors, etc.

Is the front line for the day-to-day patient and inter-professional correspondence that occurs after a patient's visit to the emergency department and returns voice mails daily.

Performs other clerical duties including filing, photocopying, ordering supplies, etc.
Assisting with hospital requirements for onboarding new MDs (badge, IT and security access, scrubs)
Providing basic office management and organization, maintaining an updated inventory or supplies and equipment for the MDs office.
Maintains patient confidentiality
Drafts and types patient correspondence, letters, and reports for outside professional agencies (lawyers, employers, etc.)
Supports MD Scheduling such as entering last minute shift changes onto the online scheduling software and downloading reports as required
Accurate handling and preparation of OHIP billing procedures
Uploads new and changed documents (e.g., policies, clinic referrals) onto the web-based platform
Booking travel and hotel arrangements, meeting rooms, and catering as required
Supporting the administrative tasks of the MD Department leads (QI, Education, Wellness, EDI physician leads etc.) such as booking meeting and attending to take and type meeting minutes
Regularly update and manage Web CV documentation for SMH EDs
Provide support to the other admin assistants, as required
Other duties as required.


QUALIFICATIONS:

Graduate of a recognized Medical Administration program, or equivalent experience
Previous experience in a similar position preferred
Excellent interpersonal and communication skills, with an ability to clarify priorities
Professional and consistent communication skills
Proven flexibility and adaptability in a fast-paced environment
Ability to work independently and prioritize workload in a fast-paced environment.
Excellent time management, organizational and prioritization skills
Demonstrated oral English language skills to communicate with patients and team members with the ability to operate multi-line telephones, respond to inquiries and redirect calls as appropriate
Must have excellent attendance record
Effective and demonstrated team skills
