Experienced Event Coordinator - Toronto, Canada - CEM Resorts
Description
As an Event Coordinator, you will play a key role in planning, organizing, and executing various events at our premier resort.
You will work closely with clients, vendors, and internal stakeholders to ensure the success of each event. This is an excellent opportunity for a detail-oriented and highly organized individual who thrives in a fast-paced environment.Responsibilities:
- Event Planning and Execution: Collaborate with clients to understand their event requirements and objectives. Develop event concepts, themes, and timelines. Coordinate all aspects of event logistics, including venue selection, catering, audiovisual setup, transportation, and accommodation.
- Budget Management: Create and manage event budgets, ensuring costeffective planning and execution. Obtain quotes from vendors and negotiate contracts. Monitor expenses throughout the event planning process and ensure adherence to the approved budget.
- Vendor Management: Source, evaluate, and manage relationships with various event vendors, including caterers, decorators, photographers, and entertainers. Negotiate contracts and ensure all vendors deliver services as per the agreed terms.
- Client Communication: Maintain regular communication with clients to provide updates on event planning progress, gather necessary information, and address any concerns or requests. Provide exceptional customer service to ensure client satisfaction and foster longterm relationships.

Site Event Coordination:
Oversee event setup, including registration, seating arrangements, and signage. Coordinate with vendors, staff, and volunteers to ensure smooth event execution. Troubleshoot any issues that may arise during events and implement quick and effective solutions.
- Post-
Event Evaluation:
Conduct post-event evaluations to assess the success of each event and identify areas for improvement. Gather feedback from clients, attendees, and stakeholders to inform future event planning efforts.
Requirements:
- Experience: Minimum of 3 years of experience as an Event Coordinator, preferably in the hospitality industry. Proven track record of successfully planning and executing a variety of events.
- Excellent Organization and
Time Management Skills:
Ability to manage multiple tasks and projects simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment.
- Strong Communication and
Interpersonal Skills:
Exceptional verbal and written communication skills. Ability to build and maintain relationships with clients, vendors, and team members.
- Budgeting and
Financial Skills:
Proficient in budget creation and management, with strong attention to detail and cost control.
- Creativity and Problem-
Solving Abilities:
Innovative thinker with the ability to develop unique event concepts and troubleshoot challenges as they arise.
