    Job Objective

    Reporting to the Community Manager, the Event Planner will work in accordance with the 6 Dimensions of Wellness model: physical, mental, spiritual, cultural, vocational, and social well-being of each resident. This individual thrives on innovation, incorporating promising practices into the implementation and delivery of a diverse range of programs. This individual will provide a combination of program creation and facilitation, as well as coaching and supporting staff, residents, volunteers, and external service providers to facilitate programs for residents both onsite and offsite.

    Hours of Work


    • Scheduled hours will include a variety of day shifts from Monday through Sunday, with availability to flex into evening and/or weekend shifts to meet program and event demands. 8 hours per day - 80 hours bi-weekly

    Responsibilities


    •Understand resident's preferences to develop event objectives to maintain regular attendance.


    •Develop and implement diverse recreational activities and programs for residents, considering their interests, abilities, and preferences.


    •Collaborate with residents, family members, and employees to solicit input and feedback on events and activities that meet their overall needs.


    •Work with community team to develop creative and innovative event concepts in conjunction with the program goals, expectations, aligned with company strategic outcomes.


    •Liase with other departments, community partners and other Silvera communities to learn how to continue to enhance the overall resident experience. Outlines and operates promotional events, ensuring events are successful for residents.


    •Work with the Community Manager and the Advisor Lifestyle Learning and Leisure to adhere to budget.


    •Create comprehensive event timelines, managing resources efficiently to ensure resident satisfaction.


    •Coordinate with vendors and entertainment providers to secure necessary services and negotiate fees. Ensure timely delivery of equipment, materials, and supplies.


    •Manage event coordination, including guest lists, seating arrangements, display materials, vendor requirements, transportation, and staff-required planning.


    •Manage inventory of event materials, equipment, resources, and supplies, ensuring adequate stock levels are maintained. Ensure proper inventory management of supplies and maintenance of equipment.


    •Oversee overall on-site event setup, execution, and breakdown, ensuring all aspects of the event run accordingly.


    •Assist with and/or do a post-event cleanup and organization of event materials and equipment.


    •Develop and report metrics to management on the evaluation of a given events success.


    •Ensure the safety and well-being of residents and staff during activities and events, adhering to all relevant health and safety guidelines, procedures, and protocols.


    •Provide exceptional customer service, addressing resident inquiries and concerns promptly and professionally.


    •Promote a positive and inclusive community environment that fosters social connections and meaningful engagement among residents.


    •Be aware of industry trends and best practices, seeking ways to continually enhance the quality and creativity of our events.


    •Manage post-event follow-up, including gathering feedback from clients and vendors to evaluate event success and identify areas for improvement.


    •Assists in and conducts creative arts activities and events, educational lectures and learning seminars.


    •Drive residents to events and assist when required.


    •Perform other duties as assigned by the Community Manager.

    Qualifications


    •A bachelor's degree in event management, hospitality, or a related field. Prior experience in event planning, hospitality event and catering management or a related field is preferred.


    •Proven experience in event planning and coordination, with a strong portfolio highlighting successful events.


    •Flexibility to work evenings, weekends, and holidays as needed, particularly during peak event seasons.


    •Must have or be willing to obtain, in a required period, a class 4 licence. Maintain a valid driver's license with a clean driving record.


    •Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize effectively in a fast-paced environment.


    •Proficiency in MS Office (Excel, Word, and Outlook). Knowledge of event planning software, such as Microsoft Planner is preferred.


    •Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously. Creative problem-solving abilities and a proactive approach to handling challenges.


    •Creativity and resourcefulness in developing and implementing engaging activities and events within budget.


    •Ability to work effectively in a fast-paced environment and adapt to changing priorities, while demonstrating empathy, patience, with a genuine passion for serving seniors.


    •Excellent communication and interpersonal skills, with the ability to work collaboratively and build strong relationships with clients, vendors, team members and residents.


    •CPR and First Aid certification may be required.

    Must have or be willing to obtain their class 4 driver's license

    Working Environment


    •Must have valid drivers' license and access to a reliable vehicle, as occasional travel is required.


    •Work within different environments, both within a primary location as well as alternate locations.


    •Be flexible and able to respond to a variety of changing duties and work routines, on occasion work under somewhat stressful situations.
