WHAT WE ARE LOOKING FOR?


As a member of the Sobeys Stadium department, the Administrative Assistant is responsible for assisting with the coordination and execution of administrative duties at Sobeys Stadium.

This position will report directly to the Events Manager, Sobeys Stadium.


Administrative support

  • Provide general support:
  • Ordering supplies, answering calls, preparing meeting spaces, receiving and distributing mail/packages
  • Receive, code and submit invoices
  • Assist with the management of:
  • Building keys, security cameras, parking passes, utility tracking, office furnishings, sustainability initiatives
  • Prepare invoicing for Sobeys Stadium department:
  • Receive, code, track and file invoices

Staffing support:


  • Manage uniform inventory
  • Assist with recruitment of new hires
  • Ensure new hire packages are completed and provide onboarding paperwork to new hires
  • Maintain employee files:
  • Security guard licensing, smart serve certifications, firstaid certifications, safety certifications, equipment operations licensing
  • Build staffing schedules
  • Assist with employee training
  • Confirm timesheets and input payroll hours for parttime/occasional employees

WHO YOU ARE:


  • Diploma or degree in business, administration or related field or equivalent years of work experience
  • 13 or more years' office administration experience
  • Excellent organizational skills
  • Multitasking and timemanagement skills, with the ability to prioritize tasks
  • Excellent administrative skills with strong attention to detail
  • Payroll time sheet experience is considered an asset
  • Confident and effective communication skills: interpersonal, written and verbal
  • Demonstratives initiative, willingness to listen and has an openness to feedback
  • Team oriented and ability to collaborate across many internal departments
  • Experience in customer service is an asset

WORKING CONDITIONS

  • Reporting location is Sobeys Stadium
  • Some evening and weekend shifts may be required
  • Work term is from April 29th
  • August 30th, with potential for extension
