Overview:
The position of Administrative Assistant provides professional administrative office support for internal and external customers, vendors and staff of the Greater Winnipeg Area (GWA)
Responsibilities:
Administrative Assistant
- General Administrative duties as assigned.
- Ensure internal workflows are up to date and assist as needed
- Keep records of all supplier contracts & performance records (safety, quality, etc.).
- Work with purchasing group, operational specifiers, and vendors to obtain required information and prepare clear, concise and accurate product and service description for inclusion in specifications, scope of work statements, purchase order and RFP (requests for proposals), and simple service agreements
- Prepare requisitions in SAP to obtain purchase orders
- Collect bill of lading and other information to receive on purchase orders
- Receive on purchase orders once work has been completed and confirmed
- Ensure all purchase orders prior to release are compliant with Health and Safety policies and initiatives
- Coordinate with corporate services on:
- Vendor creations, modifications, deletions
- O. modifications
- Coordinate with the business regarding resolution on P2P issues as they occur and perform root cause analysis to ensure that best practices are captured and shared amongst team
- Process sales orders and manage project shipments
- Focus on supporting departments to maximize the effectiveness and efficiency of interdepartmental operations
- Support Aggregate division with annual PO generation and receiving.

Qualifications:
Education:
- College education in Business Administration an asset
Experience and Skill Set:
- 5+ years of administrative experience
- Excellent customer service skills
- Experience managing business expenses through an ERP system, SAP preferred
- Strong organizational and interpersonal skills
- Experience in MS Office
- Word, Excel and PowerPoint
- Ability to work independently and effectively in a face paced environment
- Detail oriented
- Strong computer knowledge
- Ability to get along and work well in a team centered environment
- Time management
- Interpersonal Savvy
- Priority Setting
