Our operations at the Victoria Cruise & Deep Water Terminal focuses on terminal/marine operations for cruise, cargo, and fibre optic cable ships as well as a variety of service vessels.

Shore-based operations include warehouse storage, facility rentals, and community events.


We are currently recruiting for a temporary Billing Administrator to further support our team as our business continues to grow in all sectors.

This temporary full-time on-site position is based at our Victoria Cruise & Deep Water Terminal and will report to the Terminal Manager.

Contract ends October 31st, 2024.


The Position


The Temporary Billing Administrator position is responsible for invoicing customers and providing customer support at Victoria Cruise & Deep Water Terminal and Pacific Northwest Transportation Services (PNWTS).

This position works closely with the Administration & Finance Coordinator at Victoria Cruise & Deep Water Terminal and the Assistant General Manager at PNWTS.


You will be part of a motivated and diverse team and will have a high degree of interaction with all employees throughout the organization.


Responsibilities & Activities

  • Oversee the preparation of customer invoices in multiple systems including Labour DB and IFS.
  • Distribute invoices to customers and responds to all customers' inquiries.
  • Liaise with the Administration & Finance Coordinator at Victoria Cruise & Deep Water Terminal and Assistant General Manager at PNWTS to ensure invoice approval.
  • Follow up on outstanding account receivable and assist AR staff with collections as needed.
  • Protect organization's values by keeping information confidential.
  • Support strategic plan through setting and monitoring progress against goals and objectives, encouraging other team members to do the same and supporting other billing coordinators.

Qualifications & Skills

  • Post-Secondary education with a preferred focus on transportation, distribution or accounting and business
  • Experience working with complex contracts.
  • Experience working with multiple business units is an asset.
  • Experience in waterfront (terminals, stevedoring, warehousing, transportation) industry an asset.
  • Strong business acumen, analysis skills, ability to think critically and problemsolving skills.
  • Excellent communication skills needed to deal with a wideranging audience.
  • Proven interpersonal skills, dynamic team player able to inspire, work alongside, engage others, build networks, and develop trusting relationships.
  • Strong technical skills (Office 365, Word, Excel, PowerPoint, Social Channels)
  • Demonstrated ability to problem solve and facilitate resolution of customer invoicing issues.
  • Demonstrated ability to work with complex customer contracts.
  • Demonstrated ability to work with internal and external contacts.
  • Demonstrated ability to work individually and collaborate in a team environment.
