The
Executive Assistant will report to and work directly with the company's Vice-President, plus provide administrative support to other Executive's on occasion.

This role requires tact, discretion, organizational maturity, and attention to detail. As well as excellent interpersonal, communication, problem solving and time-management skills.


Responsibilities

  • Proactively manage and maintain the Executive's schedule/calendar including travel arrangements and reservations
  • Coordinate all meetings, ensure materials and/or presentations are ready for the meeting and catering, if required
  • Prepare agendas and minutes of meetings plus meeting actionitem followup and reporting
  • Prepare travel schedules, book travel arrangements, and make reservations for senior management and executive staff
  • Anticipate needs/urgency and evaluate competing priorities i.e. meetings with managers and staff, business requirements, client engagements, etc.
  • Initiate reprioritizing meetings, changing direction in response to unpredictable situations
  • Support with bids and tenders as needed
  • Facilitate event arrangements and office activities
  • Personal assistant duties of Executive may be required
  • Miscellaneous administrative tasks and special projects as required

Qualifications

  • Experience working for/support senior management considered an asset
  • Postsecondary education in Business Administration or equivalent program is an asset
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Bookkeeping and Accounting experience considered an asset
  • Excellent interpersonal skills and ability to maintain good working relationships internally and externally while acting as an effective access point to the Executive
  • Able to manage and prioritize multiple activities with limited guidance and ambiguity
  • Strong attention to detail, ability to maintain confidentiality while managing highly sensitive material with the utmost professionalism
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Adaptable, able to operate effectively and with composure under pressure and within time constraints
