Job Description:


Reporting to the Administrative Services Manager, the incumbent will participate in the development and improvement of the company's document management (including the database, policies & procedures, schedules, methods and work tools).

Working in administrative services means working in a dynamic and multidisciplinary team.

The incumbent may be called upon to collaborate and participate in other activities outside of his or her field of expertise, on a sporadic and/or timely basis.


Your responsibilities will be to:

  • Carry out the activities necessary for document management using existing tools (paper and/or electronic): classification plan, filing, indexing, followup, traceability, recording, quality control, transfer, archiving, destruction, etc.
  • Carry out the activities necessary to update and maintain the inventory of documents under the responsibility of his sector;
  • Digitize documents on request, according to the rules of the art
  • Evaluate records and archives management policies and procedures, recommend improvements and participate in their implementation
  • Maintain the filing system according to current standards and participate in its improvement to facilitate the search and retrieval of documents;
  • Promote good practices in document management;
  • Participate in the implementation of a classification plan and a naming convention within the company;
  • Accompany the various sectors in their digital conversion by guiding them and ensuring that the best practices are respected to maintain the durability and compliance of our documents;
  • Identify and categorize sensitive and/or confidential information and take the necessary measures to ensure their security;
  • Participate in the development of a document management guide.

Qualifications:


To join our team, you need:

  • College diploma (DEC) in documentation technology or information management technology
  • Minimum 2 years of relevant experience in a similar position
  • Proficiency in Microsoft Office Suite; Adobe Acrobat
  • Knowledge of SharePoint, an asset
  • Fluency in French and English, both oral and written
  • Good physical condition allowing the handling of loads which weight can vary between 10 kg and 20 kg
