Many individuals, communities and corporations choose Fort Edmonton Park as the venue for their special occasions.

Every year we play host to hundreds of private events that take place in a variety of locations, some of which book out the entire Park.

We are looking for an individual to join our Sales Team as a Private Events Coordinator. Responsibilities include:

  • Support the sales team by executing what was established in the confirmed sales contracts
  • Manage all logístical aspects of events including, but not limited to, booking venues, audio equipment, room setup, menu planning, parking and transportation
  • Check venue for readiness prior to event and meet with clients during events as required
  • Liaise with contributing business divisions including the train crew, public interpretation, entertainment, food & beverage and third party vendors to ensure all necessary support services are confirmed and coordinated
  • Prepare detailed Banquet Orders, outlining the schedule of events, room setup, presentation requirements and distribute to all vested parties
  • Enter all information including catering details into Opera Sales and Catering system, ensuring that information is accurate, timely and disbursed accordingly
  • Administer and communicate operational policies and procedures established for the facilities (i.e. emergency procedures, space/facility/equipment use, and cash handling)
  • Manage Accounts Receivable to ensure the timely processing of payments, resulting in final event reconciliation
  • Prepare necessary final reports incorporating input and feedback from all contributors for future reference
  • Attendance at weekly team meetings and oneonone meetings with direct supervisor
  • Facilitate postevent followup with client and participating business divisions
  • Other relevant duties as assigned

Qualifications:


  • 3 years of progressively responsible experience in catering and event planning, specifically private and corporate event planning
  • Skill and experience using Google Docs and Gmail required
  • Knowledge of Opera Sales and Catering system an asset
  • Exemplary verbal and written communication skills with ability to speak with a variety of clients and stakeholders
  • Excellent organization skills and ability to prioritize with competing deadline
  • Able to interact comfortably and professionally with seniorlevel executives, business owners, and other leading members of the community
  • Excellent organizational, time management and interpersonal skills
  • Hire is dependent upon a Police Information Check satisfactory to the City of Edmonton
  • Applicants will be required to arrange their own transportation
