Join a team of forward thinking, enthusiastic, results-driven and collaborative professionals. To support our mission we are currently seeking an experienced Contracts Administrator to join our team in Vancouver.


What does this role involve?
Your responsibilities will include, but are not limited to:

  • Ensure the 'building blocks' for a successful contract are created through effective contract mobilisation / start-up following award of the head contract.
  • Coordinate / manage contract deliverables (provision / return of security, evidence of insurance etc.)
  • Day to day administration of the head contract to a high level of compliance to ensure Sedgman's rights and entitlements, particularly in relation to additional time and costs, are protected and places Sedgman in a strong position for negotiation and settlement
  • Provide timely and accurate advice to the Project Manager regarding head contract rights, obligations and strategies;
  • Drafting contractual correspondence, notices and claims in compliance with contractual timeframes and requirements (for issue by the Project Manager);
  • Assist in the preparation, submission, monitoring and collection of payment claims;
  • Prepare and pursue contractual claims (including variation, extension of time and delay costs etc.) with the client and provide updated forecasts on claim prospects
  • Establish and maintain tracking registers (variation, extension of time, correspondence etc.);
  • Assist with the administration of contract insurances and any claims arising;
  • Maintain awareness of the programme, actual progress and contract completion obligations so that client instructions, variations and any other changes can be responded to in a timely manner e.g. contractual advice and/or correspondence;
  • Implement adhoc processes and procedures with the Project Team required to manage risk and ensure contemporaneous key information / data is recorded to maximise claim recovery
  • Support and assist with the preparation and input into internal and external month end reporting requirements (forecast revenue / variations / valued claims etc.);
  • Provide input and assistance to dispute resolution proceedings
  • Attending client meetings with the Project Manager;
  • Proactively identify and manage contract risks to meet organisational obligations and achieve the planned outcomes of the contract
  • Provide input to the Procurement Programme / Register including review of work packaging and ensuring all required Subcontracts (including site services related Subcontracts) are identified;
  • Assist in the preparation of Subcontract RFT packages ensuring they are commercially sound and commensurate with head contract requirements;
  • Support the commercial evaluation subcontract tenders;
  • Participate in the negotiation of Subcontracts;
  • Assist in the compilation, issue and execution of conformed Subcontract documentation;
  • Attending subcontract kickoff and progress meetings with the Package Owners /Managers;
  • Provide timely and accurate advice to Package Owners /Managers regarding contractual rights, obligations and strategies to support compliance with Subcontract conditions and inform decisionmaking
  • Assist Package Owners /Managers with the drafting of contractual correspondence (response to claims, defective work, progress etc.) in compliance with relevant Subcontract provisions;
  • Assist in the assessment of / defending against Subcontractor claims (variation, EOT etc.) from a contractual perspective and provide advice on claims management
  • Establish Subcontract tracking registers (variation, extension of time, correspondence etc.) to be used and maintained by Package Owners /Managers
  • Manage disputed Subcontractor claims (and those at risk of dispute) and coordinate strategy and required actions
  • Implement adhoc processes and procedures to manage Subcontractor risk and ensure contemporaneous key information / data (photos, diaries, site progress, delays, handover details etc.) is being recorded Package Owners /Managers to protect / defend against Subcontractor claims.

About you:


To be successful in this role, you will be self-motivated, well organised with the ability to manage multiple work fronts in a busy environment.

You will be able to think out-of-the-box and be the driver to find innovative solutions to trivial problems

  • Relevant tertiary qualifications (preference Engineering, Quantity Surveying, Construction Management or Law)
  • 35 years' experience in a similar position on a multidisciplined construction project working in or alongside Contracts, Procurement and Construction teams. Practical working knowledge of construction contract law and relevant legislation
  • Ability to negotiate and make sound commercial and contractual decisions
  • Strong understanding of typical project functions of cost control and forecasting, programming and financial reporting
