Description

The Event Coordinator is responsible for planning, organizing, and executing a wide range of events, from small meetings to large-scale conferences, to ensure they run smoothly and meet the desired outcomes.

They work closely with clients to understand their needs and preferences, develop event concepts, create budgets, coordinate vendors, and ensure all aspects of the event are executed flawlessly.


Event Planning:
Collaborate with clients and stakeholders to understand event objectives, budgets, and requirements. Develop event concepts, themes, and overall strategies that align with client goals.


Vendor Management:
Research, select, and negotiate contracts with event vendors including venues, caterers, audio-visual technicians, entertainers, and transportation services. Manage vendor relationships and coordinate their services to ensure the smooth running of events.


Logistics Coordination:

Coordinate all logĂ­stical aspects of events, such as venue selection, set-up and breakdown, transportation, equipment rental, and accommodation arrangements.

Ensure that all necessary permits, licenses, and insurance requirements are obtained and maintained.


Budget Management:
Develop and manage event budgets, ensuring expenses are kept within allocated budget limits. Monitor costs, review vendor invoices, and negotiate favorable pricing to maximize cost efficiencies.


Event Marketing and Promotion:
Collaborate with marketing and communications teams to develop and implement event marketing strategies. Create compelling event invitations, promotional materials, and online campaigns to generate attendee interest and ensure high event attendance.


On-Site Event Management:
Oversee event set-up, registration, and on-site operations to ensure smooth execution. Coordinate with event staff and volunteers, manage event flow, and troubleshoot any issues that may arise during events.


Requirements:


  • Bachelor's degree in event planning, hospitality, marketing, or a related field
  • Proven experience in event planning and execution, with a track record of successful events
  • Excellent organizational and project management skills
  • Strong communication, interpersonal, and negotiation skills
  • Ability to work independently, as well as part of a team
  • Ability to work under pressure and handle multiple tasks simultaneously
  • Proficiency in Microsoft Office and event planning software
