_GENERAL ACCOUNTABILITIES_
Responsible for reception and secretarial duties such as greeting clients, visitor and referring to the appropriate staff person. This position entails providing administrative services to all staff and maintaining filing, inventory, and contact information. Duties also include coordination of information for marketing/advertising purposes.


Reception/Resource Room/Client Services:

  • Greet clients and visitors and ascertain the nature of visit to determine referral and/or needs.
  • Respond to requests for information.
  • Answer, screen, and transfer calls.
  • Photocopy/fax documents for clients and provide resource information.
  • Troubleshoot computer issues for clients, set up and prepare equipment if required.
  • Maintain job board and research websites for employment postings.
  • Provide support for followup on clients:

Office Support/Secretarial Services:

  • Maintain electronic and hardcopy filing systems.
  • Research for promotional materials.
  • Meeting logistics preparation, record and distribute staff meeting minutes.
  • Prepare and maintain office forms, business cards, posters, contact lists, etc.
  • Prepare purchase orders for supplies to vendors and keep inventory.
  • Maintain office equipment, supplies and service records.
  • Assist in the maintenance of client case management systems.
  • Assist in distribution of mail and client cheques;
  • Track monthly the postage and photocopier meter readings;
  • Prepare and maintain up to date monthly calendars;
  • Light cleaning such as coffee cups and emptying trash cans.
Marketing/Advertising

  • Assist in the development of effective communications systems;
  • Maintain website, Facebook and other social media;
  • Assist in the development of marketing and advertising materials including posters;
  • Assist in marketing of special projects and programs and services when required.

_POSITION QUALIFICATIONS_

  • High school diploma, GED or equivalent.
  • Certificate in office administration;
  • Certificate in Microsoft office products, including Excel, Word, Powerpoint and Adobe.
  • Ability to operate computer, software programs and other office equipment;
  • Two years related work experience.

WORKING CONDITIONS:
Typical office environment; Valid driver's license would be an asset.
