We are currently recruiting for an Office Coordinator to work at our downtown Toronto location. The Office Coordinator provides a full range of value-add office administration related services to the Mohawk Medbuy's team.

Position Overview


The successful applicant will contribute to the continuing success of Mohawk Medbuy Corporation by building positive collaborative relationships throughout the company and contributing to the development of creative and innovative strategies and initiatives that are aligned with the organization's strategic direction.

This role serves as the first point of contact, controlling activities to ensure they are organized and prioritized, and completed effectively and efficiently.

The incumbent is responsible for coordinating all activities related to facilities management with property management, issuing and deactivating building access, ordering office supplies as well as independently follow-up on action items, and actively participate in the company's joint health and safety committee and be broadly responsible for the following:

Key Responsibilities

  • Regularly inspect office premises, all meeting rooms, kitchens, and washrooms, ensuring premises are at the expected standard and supplies are stocked.
  • Manage visits from both scheduled and unscheduled visitors at the office and provide support as required.
  • Coordinate office vendors, caterers, beverage suppliers, business lunches, maintenance workers, cleaning services and other supplies as required.
  • Provide office tours to new employees as required.
  • Responsible for managing building access for employees.
  • Responsible for ordering flowers, making donations on behalf of the company with appropriate approvals.
  • Act as the primary liaison with property management.
  • Participate as an active member of the Joint Health & Safety Committee.
Qualifications and Skills

  • Ability to work from the office 5 days a week.
  • Must have strong listening, communication, service driven expertise.
  • Excellent organizational and problemsolving skills with the ability to work well under pressure and meet deadlines.
  • Proficiency with Microsoft Office required.
  • Strong customer focus and service orientation with an ability to build and maintain relationships with executive team, management, and other internal and external stakeholders.
  • Excellent communication skills (verbal, written, presentations)
  • Strong leadership skills with the ability to build and maintain effective relationships across the organization
  • Strong problemsolving, decisionmaking skills
  • Good negotiation and influencing skills

Travel

  • Ability to travel to Mohawk Medbuy offices if required.
