What You Will Do:

The Office Operations Coordinator is responsible for ensuring the office environment is equipped and functioning.

You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities.

You will need to be organized and a competent professional with top notch communication skills. You will be comfortable dealing with people and able to carry out administrative and office duties accurately and efficiently.


Key Responsibilities

  • Develop and maintain relationships with landlord, property management and suppliers
  • Evaluate suppliers to assess quality, timelines, compliance of deliveries, and cost controls
  • Conduct inspections of facility grounds, external structure, systems, and equipment
  • Source vendors for special project needs and negotiated contracts
  • Coordinate and maintain office organization to keep facilities efficient, organized and professional
  • Prepare vendor invoices and process incoming payments
  • Handle administrative onboarding and offboarding tasks including activating and/or deactivating accounts, managing and maintaining office access system
  • Assist with optimizing office space utilization
  • Maintain the Office Booking System and providing reporting as required
  • Office Equipment Tracking and regular service maintenance schedule
  • Coordinate office machines maintenance with vendors (e.g. Coffee machines and water coolers)
  • Address other office services related tasks as they arise including mail/courier services and space change support
  • Assist with local events, Meeting and conference bookings, greet clients, answer calls, and help with clients and employees' office enquiries
  • Provide administrative assistance to leadership team to include travel, PowerPoint presentations, copying and organizing materials for meetings

Experience/Knowledge/Competencies You Will Need:


  • At least 5 years of experience in office management or administrative assistant roles in a fast paced environment.
  • Excellent verbal and written communication skills
  • Effective organization and time management skills
  • Demonstrated ability to manage multiple tasks with quality and timeliness
  • Strong attention to detail
  • Highly professional and confidential
  • Solid skills and experience in Office 365 tools including Teams, Excel, Word and Power Point
  • Proactively implements efficiencies and applies a problemsolving approach to job responsibilities.
