Project Coordinator.
The Project Coordinator provides general administration needs for the project team (typically Task Force team).

Depending on the size and complexity of project, the Project Coordinator may work across multiple projects or may be dedicated to a Class IV or Class V project working within a task force team.


The role of the Project Coordinator works closely with a variety of disciplines including Project Management, Project Controls, Document Control, and Engineering.

There may be external customer interface and coordination as determined by the Project Director.

Position will be located in Allentown, Pennsylvania.


PRINCIPAL ACCOUNTABILITIES
This position is accountable for the following end results:1)

Travel management for the project:

arrange, co-ordinate and manage travel requirements including flights, accommodation, transfers in accordance with corporate travel guidelines and within project budget.

Travel Visa co-ordination:
investigate visa requirements and arrange visas; monitor visa expiration and pro-actively arrange for renewals. Create Letters of Invitation as required for internal and external customers.
3) Undertake general administration activities for the project which include but are not limited to:

  • Arrange and co-ordinate customer visits to Allentown including meeting arrangements, conference room booking, catering, dinner, taxi transfers.
  • Arrange meetings on behalf of the Project Manager, for example, Lead Engineer's meetings, contractor and supplier meetings
  • Maintain Project Organization Charts, project roster, metric tracking (i.e., phase gate progress, Safety Plan compliance) and contact list.
  • Collate CVs as required in support of the project.
  • Onboarding coordination for all new team members (internal and external hires)
  • Arrange Project celebrations and Project recognition items.
  • Arrange system access as required, for example share site access, 3rd party document management tool, etc.
  • Undertake ad hoc and oneoff clerical tasks for the project. Meeting minutes, action item tracing and updates
  • Manage BSP for Class V Task Force as required
  • Expense report processing as requested
  • Create and maintain project ShareSite including OpenText, support Document management needs as appropriate (support in creation of Placeholders in Open Text in peak times to balance overall workload of Vendor Data)
  • Proactively anticipate and manage demanding project needs
  • Manage and prioritize Outlook schedules as requested for Task Force team members
  • Support the Project Director in communicating work instruction updates and IT systems upgrades that may impact the project.

MINIMUM REQUIREMENTS AND QUALIFICATIONS:


  • High school diploma
  • Some college experience is preferred
  • 5 years' experience in providing administrative assistance in a professional office environment
  • Maintains flexibility to changing priorities, while working proactively in a fastpaced environment where attention to detail, as well as verbal and written communication skills are essential
  • Ability to work independently
  • Ability to multitask and is comfortable with project critical deadlines
  • Ability to distribute key information to all project personnel on behalf of the Project Manager


  • Project Calendar Management

  • Ability to schedule large, detailed meetings across all time zones
  • Domestic and International Travel arrangements to include Awareness of Visas/Passport requirements & processing
  • Experience in using advanced Microsoft Office tools (Word, Visio, One Note, Access, Excel, PowerPoint, Publisher, Outlook), SharePoint, Workday, Concur, and other office productivity & collaboration tools
