Sunshine Oilsands is a Calgary-based Oil & Gas Company, listed on the Hong Kong Stock Exchange. The Corporation's West Ells SAGD Project is located within the Province of Alberta near Fort McMurray.


JOB DUTIES AND RESPONSBILITIES:


Responsibilities of this role include, but are not limited to:


DOCUMENT CONTROL:


  • Implementing and maintaining internal document control/ records management system, including updating and editing existing corporate documents based on current legislation and company policies, field training records, standard operating procedures, and other technical documents.
  • Creating and maintaining a comprehensive database of all existing policies and procedures and standardizing and creating appropriate templates for various categories of documents.
  • Implementing a document control procedure to ensure the accuracy and accessibility of all company documents.
  • Coordinating and tracking the review of project documents to ensure they are complete and accurate and adhere to company standards.
  • Assisting with budget control and contracts administration to ensure the financial stability and legal compliance of the company.

OFFICE ADMINISTRATION:


  • Greeting visitors;
  • Ensure smooth inoffice operations by handling all office supply requirements;
  • Liaise with building administration for building access, facility bookings, and other office/building concerns;
  • Provide administrative support to employees;
  • Handle all incoming/outgoing mail, arranging for courier pickups as needed;
  • Open and date stamp all incoming mail (except person & confidential);
  • File all backup for any couriers being sent out to support incoming invoices;
  • Create purchase order, contracts with supplies/contractors for the procurement of materials, products or services;
  • Assist with data entry for vendor purchase into ERP;
  • Prepare procurement reports;
  • Perform other duties as required.

REQUIRED EXPERIENCE AND SKILL SET:


  • 24 years of document control experience, preferably in an Oil & Gas company;
  • Postsecondary education in Business Administration, Communications or a related field of study;
  • Sound knowledge of the Oil & Gas industry to understand industryspecific terminology and processes;
  • Advanced knowledge of Microsoft Office Skills, including Outlook, Word, Excel, and PowerPoint;
  • Experience of Maximo Program an asset;
  • Excellent spelling, grammar, and writing skills;
  • Excellent oral and written communication skills to effectively communicate with colleagues and stakeholders;
  • Excellent organizational and interpersonal skills to manage multiple tasks and work collaboratively with others;
  • Strong multitasking and prioritizing skills to manage competing demands effectively;
  • Ability to work independently with little to no supervision;
  • Strong attention to detail to ensure accuracy and completeness of documentation;
  • Must be legally permitted to work in Canada.

Salary:
$50,000.00-$60,000.00 per year
