Job Summary


UBC has embarked on a multi-year journey to transform its academic and administrative support processes and system environments for the entire UBC community.

In November 2020, UBC successfully went live with its new HR and Finance implementation of Workday.

The Integrated Renewal Program (IRP) is now focused on the journey to renew the Student information ecosystem, anchored by the implementation of Workday Student.


The Integrated Renewal Program—Student (IRP Student) vision is to transform the way UBC supports learning and research, and how UBC works, to create a cohesive, integrated, and enriched experience for students, staff, and faculty.

This implementation will result in superior support for UBC students, a better user experience, a new set of tools, a new way of working, and improved reporting for informed decision-making.

IRP Student will leverage the industry-leading cloud enterprise solution Workday to replace our current core Student administration systems with a new integrated, user friendly, mobile-enabled platform.

The position works on project management activities including gathering and analyzing information from users and a variety of other sources and contributing to the entire project life cycle.

The IRP Student Project Coordinator will work closely and receive direction from the

Faculty of Medicine's (FoM) Primary Transition Leads

, FoM Executive Sponsors and FoM IRP (Community Engagement Partner and Change Management Specialist).

The position will be based at the UBC Vancouver Campus at the Djavad Mowafaghian Centre for Brain Health (DMCBH). The position is eligible for hybrid work structure within operational needs.

Organizational Status


The IRP Student Project Coordinator, Office of Vice Dean, Education (VDE) will report to the Manager, Office of the VDE and works closely with the IRP Student Project Assistant, the Faculty of Medicine (FoM) Primary Transition Leads, and IRP Community Engagement Partner and Change Management Specialist).

Interacts frequently with members of the Education portfolio (specifically the FoM local transition leads and senior administrators), the Office of the Dean, UBC Faculty of Medicine, and the Faculty of Medicine at large, IRP Student, UBC Central, and external agencies.


Work Performed- Manages the project administration and supports planning/timeline activities for the Faculty of Medicine education programs as it relates to IRP Student.- Supports the Faculty of Medicine education programs with the planning and implementation of the upcoming IRP Student launch by defining scope of work and deliverables, understanding business impact and supporting with change management.- Responsible for reporting either for individual projects or in aggregate, on the scope, schedule, resources, metrics and financial status of IRP Student initiatives for the Faculty of Medicine.- Responsible for leading and facilitating project meetings, project communications and status reporting for the Faculty of Medicine leadership (Primary Transition Leads and Executive Sponsors).- Oversees project documentation to ensure decisions, milestones, logs, and schedules are completed, on time, and communicated appropriately.

Variances and project risks are communicated in a timely manner to the Primary Transition Leads (PTLs) and Executive Sponsors.- Gathers information from users and a variety of other sources, refines project requirements in alignment to project timelines for small modules of larger project plans.

May consult or discuss with PTLs and Executive Sponsors about complex project inter-dependencies and issues.- Maintains a
