Seeking a highly motivated Tenant Services Coordinator to look after 4 Residential Properties (251 Units Total). Full time, in office position. Previous experience an asset.
***: A supportive, service-focused role intended to bolster the operational and administrative requirements of the greater Property Management Department in the pursuit of the overall Company Mission of Service Excellence and Tenant Satisfaction/Retention across the portfolio.


OBJECTIVES OF A TENANT SERVICES COORDINATOR

  • Safety of the Building and the tenants is a priority at all times.
  • Operate and maintain the Building and its equipment to the standards expected by the Owners and Management.
  • To attract and maintain a high caliber of tenants.
  • Maintain a harmonious and professional relationship with all tenants, trades and management staff.
  • To provide professional and prompt service to the tenants and trades people.

RESPONSIBILITIES & DUTIES:


  • Assists in providing daily Operations management and support to the greater Property Management Team
  • Ensuring positive response to the needs and concerns of all Tenants with a mindfulness to meet the Investment objectives of Ownership
  • Develop and maintain ethical, professional, and courteous relations with Contractors and Service Providers
  • Manages all Tenant Service requests
  • Be aware of MMC Company policies that exist for the Building and become familiar with the Tenancy Agreement, Rules and Regulations.
  • Handle the administration and vendor management of all activities related to the physical operation of the property, including, but not limited to: service procurement, fire safety inspections, contract preparation and management, inspections, filing, etc.
  • Assist with the management of fiscal activities of the property including, but not limited to: accounts receivable, vacancy tracking, insurance claims, etc.
  • Core Management of Tenant Retention efforts and seasonal events
  • Collect and deposit rent payments.
  • Conduct Move In/Move Out Inspections with new and vacating tenants.
  • Deliver notices, letters and forms to tenants as required, ensuring particular care is given to all legal forms.
  • Accurately verify and maintain parking and locker records as requested and control allocated parking and visitor parking.
  • Clean common areas & vacant units. Conduct a daily walkthrough of the entire building to ensure cleanliness and security.
  • Carry out all fire safety procedures as required by the Ontario Fire Code (daily, weekly, monthly, etc.) and as directed by the Property Manager, and maintain accurate and up to date documentation of same.
  • Maintain accurate files for each unit.

MINIMUM EDUCATION/EXPERIENCE REQUIRED:


  • High School Diploma. Postsecondary degree/diploma in Hospitality and/or Administrative Support preferred
  • Minimum 23 years involvement and experience in Customer Service, Hospitality, Administration or similar roles preferred
  • Proficient on Microsoft office programs, including Word, Excel, Powerpoint and Outlook

REQUIRED SKILLS & QUALIFICATIONS:


  • Excellent interpersonal and customer service skills
  • Knowledge of of maintenance schedules, sprinkler rooms (dry and wet system), boiler rooms, HVAC, generator room, elevator room, main electrical room, fire panel, makeup air units, sump pumps, booster, pumps, irrigation system, compactor room, circulation pumps a definite asset.
  • Ability to follow instructions

  • Highly energetic with the ability to respond to changing priorities in a positive manner
