Duties & Responsibilities

  • Assist the Clinic Manager in the coordination and efficient operations of the clinic.
  • Provide guidance and support to staff members, fostering a positive and collaborative work environment resulting in a welcoming and professional atmosphere for patients.
  • Ensure efficiency and effectiveness of clinic operations.
  • Ensure at all duties and responsibilities are completed by staff and support productivity efforts.
  • Assist in medical office assistant (MOA) duties and responsibilities, as required.
  • Ensure compliance with healthcare regulations and clinic policies.
  • Assist in addressing patient inquiries, concerns, and complaints promptly and effectively in support of a best in class healthcare facility.
  • Prepare work schedules for medical office assistants.
  • Maintain office efficiency by optimizing staff workflow and distribute responsibilities, help train staff.
  • Support initiatives to enhance patient satisfaction and engagement.
  • Privacy Officer: Assist in managing the organization and security of patient medical records, ensuring compliance with privacy regulations.
  • Lunch and Learns
- coordinating with pharma reps and coordinating with doctors' schedules.

  • Management of monthly vaccine reconciliation
  • Support financial management activities, including budget monitoring and costeffective measures.
  • Assist with Inventory stocking & ordering.
  • Assist with invoicing and collecting payments.
  • Review purchase invoices and approve before payment.
  • Register Locums with the MOH and ensure extensions are completed.
  • Communication with IT support to problem solve on site issues.
  • Stay informed about technological advancements in healthcare administration.
  • Assist in the implementation of new technologies and train staff on their use.
  • Ensure seamless integration of technology into daily operations.
  • Other duties as required.

Skills & Experience

  • Completion of a recognized postsecondary medical office administration program at the diploma level or equivalent, preferred.
  • 3 years related medical administrative support experience is considered an asset.
  • Experience with Electronic Medical Records (EMR), ideally Telus Practice Solutions preferred.
  • Ability to work in a team environment and independently.
  • Strong organizational skills
  • Ability to work well under pressure and handle difficult situations in a professional manner.
  • Ability to multitask and prioritize in a fastpaced environment.
  • Knowledge of organizational/office practices, procedures and standards
  • Ability to maintain and protect patient confidentiality.
  • Ability to produce high quality work in accordance with clinic standards.
  • Exceptional written and oral communication skills; fluent in English
