POSITION:
Records Management Assistant





REPORTING TO:
Records Manager





LOCATION:
Markham, Ontario


ROLE DESCRIPTION:

The Records Management Assistant will report to the Record's Manager and Support for Records Management program and Records Manager, including training, troubleshooting, and problem-solving ERM and RM software and functions, archiving, vendor management, program review, and program improvement.


Responsibilities include but not limited to:

  • Training and ongoing support for internal clients on ERM (Sharepoint) and RM functions
  • Promotion and enforcement of RM principles and policies
  • Assist with integration of RM policies into business improvement projects
  • Management of archive process including packing, indexing, archiving, retrieval, and refile of paper records
  • Approval, management, and audit of RM vendors including offsite storage provider and onsite shred service
  • Review and audit of existing RM program with recommendations for improvements to Records Manager
  • Complete RM projects and other duties as assigned
  • Lift between 25 and 30 pounds

Skills:


  • Written communication skills for reports and training/information materials; interpersonal and communication skills to clarify, exchange information and explain difficult concepts with internal and external clients
  • Ability to make presentations and conduct training sessions; strong listening and synthesis skills
  • Experience working and managing information in Sharepoint/Teams/OneDrive a bonus
  • Ability to research resources and information, review vendor documentation, and evaluate software
  • Ability to learn new materials and technology without instruction; ability to work independently
  • Respect for confidentiality of all companywide information and records

Education:


  • Completion of undergraduate degree in Records Management, Library Science, Information Management, or equivalent degree preferred
  • Current students (graduating in 2023/2024 and available to work normal daytime hours) will be considered

Experience:


  • Records Management experience a bonus, but not required
  • General business and office experience preferred
