The Opportunity
This position offers administrative support for the Academic Upgrading (AU) program within Academic Services.
Reporting to the Manager, of Administrative Operations, the administrative assistant works closely with the Academic Chair and AU advising team to ensure that the daily operation of the AU program runs effectively and successfully.
The Role:
- Acts as the first point of contact for the Academic Upgrading program providing exceptional service to internal and external contacts and providing administrative support directly to the AU program and Academic Chair.
- Create and maintain program information documents.
- Responsible for maintaining accurate course and instructor information for the department's loading book and assisting with data entry for course and instructor loading on SAIT's DCU system.
- Create reports and provide analysis of student data to aid Academic Chairs with program decisions.
- Coordinates the planning of meetings and events, including scheduling, minutetaking, booking rooms and equipment, catering, and making travel arrangements if necessary.
- Supporting the financial responsibilities of each portfolio, such as paying invoices, credit card reconciliation, processing expense reports, and maintaining an indepth knowledge of SAIT's FOAPAL codes to ensure proper coding of all financial documents.
- Works closely with the other administrative assistants to support portfolios, working as an integral part of the team, and initiating a unified and shared approach to work.
- Contact students flagged by First Alert for attendance issues and schedule student meetings with the Academic Chair
- Work with Academic Chairs on recruitment initiatives such as attending internal and external events including information sessions and open house events.
Qualifications & Experience:
- Bachelor's degree or higher and/or 3 years equivalence of experience and education will be considered.
- 2 years experience as an administrator
- Experience in postsecondary or adult education would be an asset
