    Description

    What will you be responsible for?

    • Assisting the Executive Director with calendar management, coordinating business travels, reconciling Visas, preparing expense reports, and providing other executive level support.
    • Assisting the Executive Director with tasks related to the Board of Directors, including managing contact lists, preparing meeting packages and decks, handling document retention, taking meeting minutes, coordinating orientations, and managing meeting logistics.
    • Creating agendas and recording minutes for weekly internal leadership meetings.
    • Supervising the organization and conduction of monthly all-staff communication meetings.
    • Preparing courier and direct mail packages for shipping.
    • Welcoming and assisting Home Office guests and visitors with a positive and supportive approach.
    • Handling phone calls, routing them appropriately, and managing phone coverage.
    • Ensuring that common areas and meeting spaces at the Home Office are well-organized, clean, and stocked.
    • Managing the Home Office seating plan to accommodate in-office and remote staff adequately.
    • Processing invoices from office supply and service vendors.
    • Assisting with monthly financial reporting procedures.
    • Leading the Culture Club Committee to foster community and relationship building between the Home Office and Tim Horton Onondaga Farms staff.
    • Providing administrative support to the Human Resources team, including data entry and survey administration.
    • Fulfilling other administrative duties as assigned.

    Do you fit the bill?

    • Completion of post-secondary education in a related field or 2-3 years of relevant experience.
    • Demonstrated experience in delivering outstanding customer service with a high level of discretion, diplomacy, and tact.
    • Strong work ethic and ability to handle confidential information with discretion.
    • Proficient in time management and organization, capable of multitasking efficiently.
    • Shows proactive behavior and takes initiative when necessary.
    • Exceptional attention to detail.
    • Advanced proficiency in Microsoft 365 tools (Outlook, Word, Excel, PowerPoint, OneDrive, Teams).
    • Excellent verbal and written communication skills.
    • Bilingualism in English/French is considered advantageous.
    • Ability to provide a satisfactory criminal record check.
