DIRECT REPORT:
Office Manager / HR Manager
MAJOR RESPONSIBILITIES INCLUDE:
- Provide broad administrative support to Autism Nova Scotia, including front desk support and switchboard, maintaining office supplies, managing vendors, evaluating emerging needs or issues as pertaining to ANS office/facility and reporting/actioning as required.
- Greet scheduled and unscheduled visitors to ANS, in a welcoming, courteous, and professional manner as first impression of ANS.
- Maintain current knowledge of ANS Programs & Services, Policies & Procedures to properly direct incoming enquiries, as well as communicate with the general public, families, individuals with ASD, volunteers, donors, sponsors & staff, and to properly support the staff.
- Provide technical support, when possible, to Autism Nova Scotia team. When IT support is beyond the scope of knowledge, seek out and coordinate support from contractors.
- Assist in assuring the dayto day operations of administrative functions, as well as the maintenance of workspaces and shared physical and remote facilities.
- Must respect confidentiality and adhere to the policies of Autism Nova Scotia
- Other Duties as required.
QUALIFICATIONS & EXPERIENCE
- Postsecondary Degree and/or Certificate in Office Administration, Business or related field, plus combined work experience
- Three or more years of administrative experience or equivalent an asset.
- Strong time management skills
- Excellent communication skills (written and oral)
- Ability to assess, develop and document administrative and work processes.
- Able to work independently.
- Organizational skills
- Ability to work well with a diverse clientele, experience with persons with disabilities and autism an asset.
KNOWLEDGE REQUIREMENTS
- Knowledge of the overall goals and intent of Autism Nova Scotia (including organizational structure, policies, guidelines, programs, and project activities)
- Use, develop, and maintain filing systems.
- Basic to intermediate understanding of technology use and set up (cell phones, tablets, lap tops).
- Knowledge of Autism Spectrum Disorder an asset.
- Ability to work with sensitive and confidential information.
ABILITIES & SKILLS
Organizational, Administrative and Time Management Skills; to plan, organize and coordinate time and tasks aspects of office management; to address constant and varied demands on the position. Ability to organize and develop systems to support these needs.
Computer Skills:
Advanced computer skills including, Word Processing, Spreadsheets, Database, Presentations
Volunteer Support:
Ability to supervise and be inclusive of volunteer administrative support staff in the office and at fundraising events.
Communication & Interpersonal:
Strong oral and written interpersonal and communication skills. Ability to work in a team environment with mínimal supervision.
Other:
Ability to adapt to change. Proven problem-solving skills; ability to self-start and work independently.
