Administrative Coordinator, ALS, RC, SH, CG, HTS
(Full-Time)
Reporting to the Manager, Assisted Living Services, Respite, Supportive Housing, Congregate Dining, and Home to Stay; the Administrative Coordinator is responsible for providing administrative and project support to the manager's portfolio.
Responsibilities include but are not limited to:
Administration
- Provide administrative support to the ASL, RC, SH, CG, and HTS team
- Collection and review of monthly and quarterly statistical data, and assist manager with ensuring monthend reporting is complete
- Review database, make corrections, run reports, obtain approvals, submission of final data
- Updates Staff Phone and cell phone lists, as changes happen (every 23 weeks)
- Maintains and distributes manager and program meetings, agendas and minutes (i.e. room bookings, zoom, Microsoft teams)
- Coordinate manager's calendar
- Track schedulers as needed (e.g., Vacation, on site, work from home, etc.,)
- Prepare and reconcile Manager's monthly VISA Expense report and any other purchases
- Support manager with research, document preparation, etc.,
- General Administrative Support i.e. ordering supplies, correspondence, presentations, providing backfill
Department Services
- Troubleshoot IT issues and work with SIMNET to resolve, as required
- Troubleshoot Printer issues, as required
- Coordinate IT equipment being issued to and collected from staff
- Monitor and update IT inventory
Qualifications required:
- Postsecondary education in Office Administration or related education
- Five (5) years of administrative experience, with 3 years' experience supporting senior staff
- Strong interpersonal communication skills
- Excellent writing and proofreading skills
- Must be professional, personable, approachable, courteous, tactful, and diplomatic
- Must be able to handle highly confidential information
- Detail oriented and highly organized to as to produce a quality work product in a timely manner
- Effective scheduling/meeting coordination skills
- Selfmotivated; take initiative, and anticipate issues
- Intermediate to advanced knowledge and experience with Microsoft Office (Excel, Outlook, PowerPoint, Word), Adobe Acrobat and Microsoft Teams
- Intermediate computer and technological skills
- Typing 60 to 80 wpm
- Satisfactory Police Vulnerable Sector Check
- Sensitivity to adults with needs related to aging, physical and/or mental health
- Adherence to COVID19 safety practices including two doses of COVID19 Vaccine (where medically able in accordance with our Immunization Policy)
- Must work in a safe manner and promote the health and safety of all staff, volunteers, clients and the community as outlined within CCD policies
Compensation:
Starting at $39,000 annually; three (3) weeks' vacation per year of work (pro-rated to hours worked); 11 paid (including stat) holidays; health, insurance and pension benefits when eligible.
